JOB SUMMARY:

We are seeking a highly organized and detail-oriented individual to join our team as an Operations Coordinator. The Operations Coordinator provides essential support to the Operations Manager and the broader Operations team. This pivotal role involves coordinating daily operational tasks, assisting with administrative processes, supporting onboarding and training, and ensuring smooth office operations. The ideal candidate will be adept with platforms such as Microsoft Office Suite and Google Workspace, possess strong communication skills, thrive in a fast-paced environment and be proactive in supporting team needs.

QUALIFICATIONS:

Required Knowledge, Skills, Abilities:

  • Proficiency in Microsoft Office Suite, Zoom and Google Workspace
  • Exceptional verbal and written english communication skills
  • Strong organizational and time-management skills
  • Ability to manage competing priorities in a fast-paced environment
  • Detail-oriented with a proactive problem-solving mindset
  • Ability to work in a team and independently

Required Training and Experience:

  • Bachelor’s degree in Business Administration, Management, Communication or a related field is considered an asset
  • Previous experience in an operations, administrative support or customer service role is considered an asset
  • Experience in a real estate setting is considered an asset

Required Licenses, Certificates and Registrations:

  • A valid driver’s license and reliable vehicle

NOTE: This position will be relocated to Burnaby at a future date.
Job Types: Full-time, Permanent
Pay: $39,520.00-$43,680.00 per year

Responsibilities

Operational & Administrative Support

  • Assist with daily brokerage operations, ensuring tasks and projects are completed efficiently.
  • Support compliance monitoring and maintain operational records.
  • Prepare and maintain operational reports, documents, and spreadsheets.

Training & Onboarding Assistance

  • Assist with onboarding new REALTORS®, including scheduling, distributing materials, and tracking completion.
  • Support the organization of training programs, preparing invitations, handouts, and logistics.

Communication & Coordination

  • Coordinate team meetings, take notes, and follow up on action items.
  • Draft and distribute internal communications, memos, and updates as required.
  • Liaise with vendors, service providers, and other departments under the direction of the Operations Manager.

Technology & Process Support

  • Assist in implementing, maintaining, and troubleshooting operational platforms and procedures.
  • Support the adoption of new tools to streamline workflows.

Additional Support

  • Perform other related duties as required.
  • Provide ad hoc support to the Operations Manager and other departments as required.
  • Provide support at other office locations as required, including occasional travel to ensure consistent operations and team coordination across locations.
