We’re currently looking for a highly organized and proactive Administrative & Scheduling Coordinator to support our Mitigation Manager, oversee fleet and compliance tasks, and help ensure smooth daily operations.

QUALIFICATIONS:

  • Proven experience in an administrative, scheduling, or operations support role
  • Strong organizational and time management skills
  • Excellent communication skills (both verbal and written)
  • Proficient with Microsoft Office (Word, Excel, Outlook) and general office systems
  • Ability to multitask in a fast-paced environment
  • Experience in restoration, construction, or field service industries is an asset
  • Valid driver’s license is a plus (for occasional vehicle tasks)

Responsibilities
  • Work closely with the Mitigation Manager to schedule crews, coordinate jobs, and support field operations
  • Maintain up-to-date compliance documentation (daily documentation, training records, health & safety requirements)
  • Assist with fleet coordination including vehicle maintenance tracking, and scheduling service appointments
  • Perform administrative tasks such as data entry, document organization, and internal reporting
  • Liaise with clients and team members to ensure timely communication and job follow-ups
  • Support general office functions as needed
