Position Overview: As an Operations Coordinator, you’ll be instrumental in ensuring the smooth and efficient operation of our wine department. Reporting to the Operations Manager, you’ll play a pivotal role in tasks such as creating purchase orders, coordinating shipments, processing orders, managing invoices, and maintaining strong relationships with suppliers and partners.

REQUIREMENTS:

Proven experience in operations coordination, logistics, or supply chain management, preferably in the food and beverage industry, with a focus on purchase order management, supplier coordination, and customer interaction.
Strong organisational skills with the ability to prioritise tasks effectively in a fast-paced environment.
Proficiency in MS Excel, Word, and Windows for data analysis, reporting, and communication.
Ability to work on ad-hoc business improvement projects with a proactive approach to continuous improvement.
Bachelor’s degree in Business Administration or related field is desirable but not essential.
Proficiency in analytical skills, including analysing sales data and generating reports.
Flexibility and adaptability to handle changing priorities and multiple tasks simultaneously.

Responsibilities:

Create and manage purchase orders accurately and efficiently.
Coordinate with suppliers to ensure timely delivery of goods.
Book cost-effective transport for shipments, both incoming and outgoing.
Monitor shipment schedules and promptly resolve any issues.
Process customer orders accurately and efficiently.
Generate and send invoices to customers following company policies.
Handle discrepancies in wine reports promptly and effectively.
Work with internal teams and suppliers to resolve credit issues in a timely manner.
Match proof of deliveries (PODs) with invoices to ensure accurate records.
Maintain strong relationships with suppliers, wine partners, and bond warehouses.
Communicate effectively to ensure smooth operations and resolve issues promptly.
Analyse monthly sales data and generate profit and loss reports for the finance department.
Provide feedback and contribute to the growth of the wine department.
Manage various aspects of the wine department as needed.
