OPERATIONS COORDINATOR

We are a strategy first brand design agency with decades of experience spanning startups to fortune 500 companies in gaming, entertainment, lifestyle, and tech.We’re looking for an Operations Coordinator to support operations across the studio, who thrives when immersed in nuanced process and details and is a continuous learner. SUMMARY DESCRIPTION:

As an Operations Coordinator you are a highly organized planner, stellar communicator, and team player supporting operational duties and ensuring efficiency throughout. You have proven success as a multitasker capable of delivering on responsibilities in a fast paced environment. You are results driven. You have an understanding of cross-functional facilitation and logistics; this aids your ability to assist with organizational process, tracking, and reporting.
You’re able to collaborate with peers to ensure consistency of information, and that employees and freelancers alike adhere to policies. You are service oriented, participating in a team structure that facilitates and maximizes individual and group performance. You resolve problems and prioritize amongst multiple and often-times competing priorities, all the while, your unmatched optimism supports fostering positive ways of working and drives towards results.
As a point of contact and team member, you have excellent administration, relationship, and communication skills when it comes to managing time, the day-to-day business of the studio, and interacting with teams, clients, and vendors. In support of program health, you are responsible for ensuring operations process guides, templates, and sheets reflect up to date accurate information.
The Operations Coordinator reports to the Operations Manager (“OM”) and works closely with the Client Services Team. Interacts daily with all team members including account and project managers, strategists, designers, and freelancers.

QUALIFICATIONS FOR SUCCESS:

  • An undergraduate degree or equivalent experience of 2+ years in an agency, in-house admin role, or corporate environment is required.
  • Proficient in Google Workspace and Microsoft 365 applications.
  • Excellent organizational abilities, attention to detail and follow-through.
  • Strong problem-solving, prioritization and time-management skills.
  • Excellent written and verbal communication skills; ability to manage relationships and communicate professionally.
  • Strong service ethic; a high degree of responsiveness and interest in exceeding expectations.
  • A willingness and ability to learn and utilize new systems/tools as needed.
  • A respect and appreciation for design is a plus.
Responsibilities

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Responsible for the timely input and maintenance of reports essential to studio operations.
  • Ensure timely and accurate vendor invoice submissions.
  • Software as a Service (SaaS) subscription maintenance; monitoring license assignments and compliance to cyber security protocols.
  • This is a hybrid office environment: responsible for maintaining the studio space to ensure a functional, professional and welcoming environment. Including:
  • Owning maintenance services, vendor and supplier relationships.
  • Assist with many aspects of studio maintenance including equipment and supplies inventory, warranties etc.
  • In collaboration with Client Services, assists with the creation and receipt of vendor contracts, on-off boarding, and project setup.
  • General administrative support.
