REQUIREMENTS

  • Secondary school level/ college diploma (degree).
  • Proactive and team player with excellent communication and interpersonal skills.
  • Excellent time management, organisation skills and the ability to multi task.
  • Computer literate with proficiency in MS office.
  • Good knowledge in English and knowledge of an additional language is an asset.
  • Minimum 3 years of working experience or at least 5 years in a similar industry.
  • Clerical and accounting, stock or logistic background will be helpful
Responsibilities

OBJECTIVE/ PURPOSE OF THE ROLE

This role will be responsible for managing administrative tasks for the technical operation. The role will monitor on-time and accurate completion of work orders in the system including SHEQ compliance from the technicians and other stakeholders involved.

TASKS AND RESPONSIBILITIES

  • To document the Manlift process and procedure, they consumed resources at workshops including contracted labour hire.
  • To document according to Manlift process and procedure, corrective maintenance, preventive maintenance, third-party inspections, damage and missing equipment process, parts use, and consumption and annual inspections of equipment.
  • To document according to Manlift process and procedure, the sold equipment and de-fleet MEWPs.
  • To document according to Manlift process and procedure, the annual maintenance contracts & Service contracts.
  • Coordinates the implementation of the required MEWP third-party inspection.
  • Assists in the creation and management of workshop projects, including obtaining required approval if applicable.
  • Recording of technician’s hours worked, including overtime hours, and communicating to HR with proper approval.
  • Manage equipment and MEWP records and data entry into the NetSuite system.
  • Accurately logs all the MEWP details in the Damage advice note (service work orders, breakdown and damages photos, etc) and submit to relevant team members for approval.
  • Documenting all mandatory requirements for internal and external technical safety bulletins.
  • Archiving historical information on sold equipment.
  • Update the track unit manager based on the workshop and field activities on track unit installation and removal of faulty units.
  • Maintain and update user manuals, service manuals, and parts manuals for equipment.
  • Efficient use of the NetSuite system with an understanding of all relevant reports needed to support the day-to-day tasks.
  • Effective communication with technicians, permanent casuals, suppliers, manufacturers, and other service providers to ensure appropriate actions are taking place.
  • Aiding the Technical manager with the timely completion of the monthly reporting process.
  • Ensure operational visual displays (KPIs, Operational Results, Track Unit Manager, Field Service Monitor screens) in the office are updated and working properly.
  • In charge of on-time submission of petty cash to the accounts department.
  • Real-time update of operational skill matrix, improvement board, and 7-day shift schedule for technicians.
  • To ensure the accurate and timely completion of all work orders in the system.
  • To ensure Genie Tech Pro and JLG Online University training are executed in a timely manner.
  • To ensure effective communication with the hire desk and commercial team for daily rental requirements with a clear understanding of demands for efficient planning. Updates daily planner with fleet allocation, status, and expected ready line date.
  • To ensure a healthy and safe working environment is maintained in line with the company’s SHEQ policy. Supervise and work in tandem with the workshop supervisor for the yard and workshop 6s activities and responsibilities, MEWP arrangements, and work equipment conditions are maintained at a high standard.
  • To ensure that any near misses (unsafe acts and unsafe conditions) are recorded. A stand-up meeting is used to discuss violations and action measures.
  • To ensure and monitor appropriate PPE is used by the technicians, permanent casuals, suppliers, and third-party service providers when they are on the premises.
  • To ensure and supervise proper waste segregation and waste disposal within the premises.
  • Identify areas for immediate action due to relevant SHEQ issues and concerns.
  • Supervise facility management and work in tandem with the Technical Manager in facility repairs and schedules.
