QUALIFICATIONS

  • A minimum of 1.5 years of administrative experience with advanced technology use required
  • A bachelor’s degree from an accredited college or university in a field related to business, communications, or HR preferred
  • Must have a valid driver’s license and reliable transportation
  • Must be trustworthy, organized, detail-oriented, and have strong time management skills
  • Must have excellent interpersonal and communication skills
  • Must maintain a high level of confidentiality and sensitivity of client and agency information
  • Must exhibit professional boundaries and culturally competent interactions with clients, colleagues, and external partners

Responsibilities
  • Assist with general administrative tasks of the leadership team including preparing for meetings, arranging seating, and ensuring technology is ready for use
  • Participate in executing the agency’s robust onboarding and offboarding procedure for staff and interns
  • Provide ongoing updates to staff about agency operations
  • Participate in the implementation of VAP’s Staff Engagement and Retention Plan to enhance staff morale/retention, fostering an environment that positively influences client service delivery
  • Contribute to the development and maintenance of internal tracking systems to ensure the agency is adhering to requirements of its accreditation, funders and certifications
  • Ensure current state and federal compliance posters are prominently displayed on the employee rights bulletin board
  • Maintain the written accuracy of required policies, procedures, and master forms
  • Work with members of the leadership team to compile and aggregate agency data to produce internal and external reports
  • Oversee the inventory, distribution and/or installation of equipment, parking assignments, security cards and office supplies, and client materials (i.e. intake folders, protection order packets, etc.)
  • Troubleshoot and fix minor technology issues
  • Develop proficiency in the usage of the agency’s phone, security, technology, client database, donor database, and copying/printing equipment
  • Liaison with the agency’s technology and maintenance vendors to maintain a suitable and efficient working environment
  • Assist with administrative and outreach tasks including but not limited to scheduling meetings, mailings and fundraising events
  • Maintain the office’s cleanliness, organization and functionality
  • Serve as the primary contact with the building landlord to ensure the swift resolution of any maintenance issues
  • Participate as a member of the Summit County Crisis Response Team when responding on scene
  • Engage in all required staff meetings and trainings
  • Adhere to MOU’s with partnering agencies
  • Adhere to policies and procedures
  • Represent the mission of the agency at all times
  • Other duties as assigned
