Description
We are looking for a proactive and detail-oriented Portuguese-speaking Operations Coordinator to join our team in Copenhagen. You will be responsible for planning, coordinating, and operating group travel programs across the Nordics and Baltics, working closely with suppliers, clients, and internal departments to ensure every tour is delivered efficiently, profitably, and to the highest quality standards. This is an excellent opportunity for someone who is organized, commercially minded, service-oriented, and eager to develop within the tourism industry. Your responsibilities: Operate and manage group tours for the Portuguese market, ensuring seamless execution from start to finish. Create relevant, well-timed, and competitively priced itineraries using company tools, destination knowledge, and supplier networks. Handle bookings, amendments, confirmations, and operational follow-up with suppliers. Book and coordinate services in close cooperation with trusted suppliers across the Nordics and Baltics. Negotiate with suppliers to obtain the best possible rates, liaising with the Contracting Department when required. Maximize profit margins while identifying opportunities to offer additional services that enhance the guest experience. Coordinate hotels, transportation, guides, attractions, and other travel services. Monitor reservations and ensure all services are delivered according to client requirements and company standards. Maintain accurate booking information and operational records within internal systems. Liaise with suppliers and internal departments to resolve operational issues efficiently and proactively. Support the preparation and execution of group departures and tailor-made itineraries. Prepare operational documentation including rooming lists, manifests, travel documents, and reports. Ensure timely communication with clients, suppliers, and internal stakeholders. Your profile: Skills & Experience Fluent Portuguese and English, both written and spoken. Previous experience in tourism, destination management, travel operations, group handling, or customer service is preferred. Strong organizational skills with excellent attention to detail. Commercial mindset with the ability to balance service quality and profitability. Strong negotiation and communication skills. Ability to manage multiple projects and deadlines simultaneously. Proactive, solution-oriented, and able to work independently as well as part of a team. Experience with reservation or tour operating systems is an advantage. Additional Information High Season Period: Please note that from 1st May – 31st August, the workload may be heavier, and overtime may be required. Overtime is compensated as time off in lieu. Work Location: This position is based in Copenhagen, Denmark, with the possibility of hybrid working depending on the role.
