Position Title Operations Director (Part-Time) 20–25 hours/week | $34–$41/hour (DOE) Position Type and Location Hybrid position for candidates in or around Northeast Ohio. While the role is primarily remote, it requires occasional attendance for quarterly meetings in the Beachwood, Ohio area. As we expand, we’re looking for a forward-thinking Operations Director to join our leadership team and help shape the future of our practice. The Role As Operations Director, you’ll oversee all non-clinical operations that keep the practice running smoothly and help our practice grow. This role is perfect for someone who loves efficiency, organization, and streamlining processes. You’ll lead a small but mighty non-clinical team that supports billing & credentialing, client engagement, community engagement, marketing, and organizational culture. You’ll make sure our systems work as hard as we do. You’ll partner closely with the Clinical Director and Executive Director to align operations with client care, staff growth, and practice sustainability. Key Responsibilities Finance & Billing Oversight Oversee accounts receivable, balances, and collections. Ensure timely and accurate payroll preparation. Oversee budget monitoring, financial reporting, and revenue cycle management. Supervise billing and credentialing functions. HR & Staffing Manage job postings, recruiting coordination, and onboarding. Conduct annual reviews for administrative staff. Track staff contracts and renewals. Client Lifecycle Support Oversee intake and scheduling systems. Ensure insurance verification and chart preparation are completed. Monitor client satisfaction and retention metrics. Coordinate community engagement and marketing efforts. Quality, Compliance, & IT Oversee licensing and insurance renewals. Maintain and update administrative policies and procedures. Manage complaint/issue log and resolution process. Lead technology strategy, system integration, and vendor management (EHR, Communications, and Productivity Suites). Develop and maintain metrics, dashboards, and operational reports. Identify and implement opportunities to streamline and integrate systems to improve efficiency and reduce duplication of work. Leadership & Communication Facilitate weekly/biweekly Ops & Quality meetings. Facilitate Client Services & Engagement meetings. Prepare weekly operations report for Executive Director. Present quarterly strategic performance reports. Collaborate with the Clinical Director on cross-functional issues. Continuously monitor operations, flag inefficiencies, and implement solutions in collaboration with leadership. What We’re Looking For Bachelor’s degree in business administration, healthcare management, information systems, or related field (master’s preferred). 3+ years of progressive leadership experience in operations, HR, finance, or healthcare administration Strong skills in reporting, analytics, and process improvement. Proficiency with key technology platforms: Electronic health record systems, communication platforms, productivity tools (MS Office or Google Workspace). Familiarity with reporting tools, dashboards, and workflow automation is highly desirable. Demonstrated leadership ability in a multi-disciplinary team.
