Please visit our website: www.turnerandtownsend.com Job Description About the role We are looking for a highly organized and proactive Operations Executive to be the operational backbone of our Project Management (PM) business. Sitting at the heart of the project delivery cycle, you will take ownership of the financial administration for a diverse portfolio of projects - raising invoices to securing payments - while actively supporting project documentation and tender proposals. Key responsibilities End-to-End Billing & Invoicing: Manage the complete billing cycle for assigned projects (both upstream and downstream invoicing) in strict alignment with monthly deadlines. You will act as the commercial gatekeeper, understanding the specific financial terms of each project to ensure 100% billing accuracy. Financial Tracking & Credit Control: Maintain highly accurate project and invoice trackers. Proactively collaborate with Project Managers and follow up directly with clients to ensure payments are processed correctly, in full, and on time Tender & Proposal Support: Assist the team in crafting competitive proposals and bidding materials, tailoring content to highlight our specific service offerings for each project. Project Documentation: Facilitate the preparation, organization, and management of vital project documents throughout the tender and contracting phases. General Administration: Provide seamless day-to-day operational support, including document execution, managing correspondence, and handling ad-hoc administrative tasks to keep the PM team running efficiently. Qualifications Diploma or Bachelor's degree in Business Administration, Finance, Accounting, Economics or a related field. 1–3 years of experience in operations, project administration, billing / invoicing or a similar support role (experience in a professional services, construction or real estate environment is an advantage). Strong organisational skills with the ability to manage multiple projects and deadlines simultaneously. Good numeracy and attention to detail, particularly around invoicing and financial tracking. Proactive, ownership-driven mindset, comfortable coordinating with multiple stakeholders and chasing tasks through to completion. Strong communication skills in both English and Vietnamese, written and spoken. Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with an ERP system is a plus.
