JOB DESCRIPTION

As the Operations & Facilities Coordinator, you will be responsible for ensuring the smooth day-to-day functioning of our Hunt Valley office and supporting broader operational initiatives across the organization. You’ll manage vendor relationships, oversee facilities-related budgets, support event logistics, and help maintain business continuity processes.

What qualification should you have? The ideal candidate will have the following profile:

  • Previous experience in operations, facilities management, or administrative support preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and familiarity with budgeting tools.
  • Ability to work independently and collaboratively across teams
Responsibilities
  • Vendor & Landlord Administration: Manage relationships and communications with external vendors and landlords.
  • Invoicing & Budget Management: Track and process invoices, assist with budget planning and monitoring for facilities-related expenses.
  • KPI Reporting: Compile and report key performance indicators for Group Facilities and other entities.
  • Office Management: Serve as co-office manager for our Hunt Valley location, ensuring fron, and lead distribution.t desk coverage when necessary.
  • Project Management: Lead and support various operational and facilities-related projects from initiation to completion.
  • Business Continuity Support: Organize meetings, prepare agendas, and document minutes to support continuity planning.
  • Event Coordination: Assist with the planning and logistics for trade shows, sales conferences, and other corporate events.
  • Data entry and marketing miscellanea activities: Support the Sales and Marketing team with specific projects, marketing material management
