OVERVIEW

We are seeking a detail-oriented and proactive Operations & Finance Administrator to join our growing team. Reporting directly to the Operations and Compliance Director, the successful candidate will play a central role in a broad range of company administration.
This position requires strong analytical skills, attention to detail, and the ability to work collaboratively within a dynamic environment.

QUALIFICATIONS AND EXPERIENCE:

  • General IT skills; MS Office, Visio, Internet/Email/Outlook.
  • High level knowledge and use of Excel, ideally including formulae creation.
  • Basic bookkeeping skills with previous experience of using Xero software, preferable
  • Strong background and experience in administrative work.
  • Knowledge of project management principles.
  • Continuous improvement mindset.
  • Highly organized, with a strong attention to detail.
  • Experience of using databases – e.g. Team Desk
  • Proficiency in Scoro CRM software desirable
  • Logical and flexible work attitude, and ability to work on own initiative within a small team.
    Job Types: Full-time, Permanent
    Pay: £30,000.00-£35,000.00 per year

Responsibilities
  • Administration and control of the company Info email inbox, answering queries or directing as appropriate
  • Administration of 1 x client traceability data
  • To answer telephone enquiries and direct to appropriate personnel.
  • Credit control of consultancy & contracted support services
  • General consultancy operations admin using CRM software (Scoro)
  • Monthly timesheet collation and invoicing for consultancy service including quarterly or monthly contract invoicing
  • Administration of Head Office meeting room, including bookings, ordering lunch, servicing, and maintenance
  • Main point of contact for Centre Manager at Head Office
  • Maintain both stationery and sundries, replenishing stock as necessary, plus minor office housekeeping duties
  • Manage and control TeamDesk (As software owner)
  • Manage payments in Xero, reconciliation and basic bookkeeping activities, including VAT returns
  • Maintenance of IT/Equipment register
  • Preparation of Operational data and Financial data for general meetings
