POSITION SUMMARY:

This staff member works at the Ivester House branch of the Brenau Center for Counseling and Psychological Services located in Gainesville. This staff member is responsible for operational and administrative tasks needed to run the outpatient mental health clinic, as well as with administrative and operational tasks related to the Brenau Internship Consortium.

PREFERRED QUALIFICATIONS:

Two years of college classes and some office manager experience or experience in a mental health setting preferred.

  • Excellent computer skills (Word, Excel)
  • Excellent office management skills
  • Excellent interpersonal skills, including good telephone manners and ability to work with diverse groups

SPECIAL REQUIREMENTS:

Brenau University performs criminal background checks on all new hires. Employees must maintain a favorable criminal history while employed, and random background checks may be conducted. Additional checks may be performed for certain roles. Credit checks are required for positions that handle company funds or credit cards. Motor Vehicle Reports (MVRs) are run for employees who operate a university vehicle or drive on university business. To be approved for travel, employees must be at least 21 years old, have a valid Georgia driver’s license, and a good driving record. Drug screening may be required for employees in sensitive positions, those who travel regularly, or those who operate a university vehicle. All employees are subject to reasonable suspicion drug screening.

Responsibilities

JOB DUTIES & RESPONSIBILITIES:

  • Works under the direction of BCCPS director at Ivester House, the BCCPS assistant director at Ivester House, and the Lynn J. Darby School of Psychology & Adolescent Counseling Office Manager
  • Must learn and apply ClinicNote or other software as electronic health records for the clinics
  • Works with clinic directors on client-related needs (intakes, scheduling, forms, records, marketing)
  • Under the direction of the clinic directors, manages student clinic coordinators (including hiring, training, and scheduling)
  • Manages and coordinates the BCCPS research study at Ivester House
  • Coordinates ordering of psychological assessment materials and clinic supplies; maintain assessment inventory and check-out procedure; orders general office supplies
  • Works with Internship Coordinator to plan and organize internship-related events
  • Helps prepare files, interview process and scheduling, and paperwork related to internship applications
  • Manages clinic databases and Time2Track system including intern and supervisor evaluations
  • Maintains list of resources for interns and student therapists
  • Manages Ivester House social media and marketing projects as needed
  • Assists with minor accounting duties associated with clinic fees paid by clients
  • Must maintain professional appearance; must be well organized, responsible, and discreet
  • Must provide secretarial services for the BCCPS Ivester House clinic including maintaining accurate records and handling routine administrative tasks
  • Must complete tasks in a timely way
  • Must maintain confidentiality and follow HIPAA guidelines
  • Assist with organizing didactics for internship
  • Other clinic and office tasks as assigned
