POSITION DESCRIPTION

The Vincentian Operations Manager provides key Administrative and Human Resources services to the Conferences and Councils which make up the Archdiocesan Council of Seattle (ADC), Society of St. Vincent de Paul. The day-to-day work of the Vincentian Operations Manager shall be supervised by a committee of the ADC, appointed by the ADC president.

MINIMUM QUALIFICATION:



    • Excellent organizational and communication skills.

    • Ability to manage multiple tasks and projects simultaneously.
    • Experience in managing corporate status and compliance reports.
    • Skill to work collaboratively with other Vincetion as part of a common SVdP Mission.
    • Understanding of Catholic faith and diocesan structures including, parishes and parish organizations.
    • Ability to communicate with diverse audiences such as priest, parishoners, and community partners.
    • Excellent skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Project management experience.
      Preferred Qualifications:


      • Bachelor’s degree in Business Administration, Human Resources, or a related field.

      • Minimum of 5 years of experience in administrative or human resources roles.
      • Strong understanding of background check processes and VIRTUS administration.
      • Knowledge of cybersecurity best practices.
      • Proficiency in using PeopleFacts and VIRTUS platforms.

      Responsibilities
      • Background Check Administration:


        • -
        • Review all flagged background checks in concert with the ADC President, recommending whether a restriction or rejection is warranted, and managing communication with the individual and Conference leadership as needed.
        • Ensure all participating Conferences receive their monthly PeopleFacts invoice.
        • Provide assistance with the PeopleFacts platform as needed, including filing service tickets with PeopleFacts when necessary.
        • Senior-level VIRTUS Administration:


          • -
          • Train new District Council VIRTUS administrators on VIRTUS procedures.
          • In District Councils without staff, train the local administrators.
          • Maintain the ADC’s Safeguarding administrative documentation (approx. 100 pages) to support the District Council and local administrators.
          • Participate in ADC Safeguarding Committee meetings and keep record of decisions made.
          • Provide technical assistance with the VIRTUS platform as needed, including filing service tickets with VIRTUS when necessary.
          • Perform monthly sanity checks and advise administrators of any discrepancies for all six District Councils.
          • Assist administrators in preparing quarterly compliance reports for the ADC.
          • Provision of Fundamental Business Tools:


            • -
            • Provide and maintain a simple website to distribute the Safeguarding information to the public and to administrators with appropriate security for the different audiences.
            • Provide and maintain ADC email addresses as needed to support the Safeguarding tool platforms.
            • Provide assistance with managing corporate status to the smaller corporations which don’t have staff.
            • Send timely reminders on 1099s, tax receipts, corporate renewals, and 990s.
            • Keep their 990s on file.
            • Send periodic basic cybersecurity reminders (password hygiene, phishing prevention, etc.).
            • Provide assistance with finding Vincentian resources on the National website.
            • Reporting and Communication:


              • Conduct outreach efforts with Catholic parish SVDP members and parishioners and other Catholic organizations in order to develop active participation in the SVdP program.

              • Report and communicate work results to the task supervisor and the ADC Safeguarding Committee.
              • Generate, organize and manage program documentation.
              • Attend trainings and meetings.
              • Performs related functions necessary to support the Mission of the SVdP Program.
