Responsibilities

ROLE OVERVIEW

The Operations Manager will work closely with the Founder/CEO to ensure smooth daily operations across sales support, project delivery, and internal processes. This role is about getting things done coordinating tasks, keeping workflows on track, and supporting customer and sales teams so EcoSpex can scale efficiently.
You will be the backbone of tactical execution, strong analytical and organizational skills, turning strategy into action and freeing up leadership to focus on growth and external relationship

KEY RESPONSIBILITIES

  • Research and Development
  • Support the CEO on project management and delivery of tasks
  • Manage CRM updates, pipeline tracking, and sales documentation.
  • Coordinate outreach campaigns, webinar follow-ups, and lead tracking.
  • Financial & Resource Management
  • Support on budgeting, cash flow, and vendor contracts.
  • Organize and deliver client contracts reporting requirements
  • Sales Support & CRM Management
  • Manage CRM updates, pipeline tracking, and sales documentation.
  • Coordinate outreach campaigns, webinar follow-ups, and lead tracking.
  • Prepare sales materials, presentations, and follow-up summaries.

  • Customer & Partner Support
  • Act as first line of support for manufacturers, Architects, Engineers, Contractors Developers, professionals, and partners.
  • Schedule and coordinate onboarding sessions, demos, and support requests.
  • Ensure all customer interactions are logged and followed through to resolution.
  • Operations & Administration
  • Maintain internal SOPs, templates, and reporting systems.
  • Track project milestones and deadlines across grants, pilots, and partnerships.
  • Support compliance with reporting requirements (grant deliverables, etc.).
  • As-needed tasks crucial to the operations of EcoSpex
  • Team Coordination
  • Foster a culture of accountability, collaboration, and continuous improvement
  • Manage scheduling, meeting prep, follow up requirements and cross-team communication.
  • Document action items and ensure follow-through across internal and external meetings.
  • Process & Efficiency
  • Identify workflow bottlenecks and recommend improvements.
  • Maintain dashboards for sales, partnerships, and project progress.
