Position Overview: We are seeking a detail-oriented and proactive Operations Manager to oversee and enhance the daily operations of our growing law practice.
This role will focus on optimizing workflows, fostering team collaboration, and maintaining a positive and efficient work environment.
Success in this role requires exceptional organizational, communication, and problem-solving skills.
Key Responsibilities: Operational Management: Maintain and optimize Lawmatics CRM data for accurate and actionable reporting, including establishing KPIs and generating business insights.
Generate and distribute daily operational and performance reports.
Develop and document office procedures using tools like Tettra.
Organize and secure Google Drive folders for accessibility and confidentiality.
Troubleshoot and resolve operational issues promptly.
Ensure staff are aware of their KPIs and consistently held accountable.
Financial Management: Manage invoicing and monthly trust account reconciliations.
Maintain compliant financial records for trust accounts.
Process client payments as needed.
Software and Technology Management: Oversee call handling and reporting via Ring Central.
Coordinate with IT teams and software support for technical resolutions.
Train staff on software systems and updates.
Team Coordination and Support: Build relationships with in-office and remote personnel to foster collaboration.
Support team members with daily operational needs.
Follow up with clients to ensure effective communication and satisfaction.
Mentor staff to nurture a positive and productive workplace culture.
Qualifications: Excellent English communication skills, both written and verbal.
Proven experience in operations or team management, preferably within a professional services firm.
Proficiency in CRMs, Google Drive, and other relevant tools.
Strong organizational and problem-solving abilities with attention to detail.
Ability to maintain discretion and confidentiality.
Nice-to-Haves: Familiarity with legal or law firm operations.
Experience working with remote and in-office teams.
