Description

We are looking for a proactive and detail-oriented Operations Manager to take ownership of our day-to-day operational functions, finance processes, HR systems, and administrative backbone.
This role is ideal for someone who thrives in a lean, cross-functional environment, and has experience in EU-based operational and administrative processes (especially Germany).

Operations Management

  • Ownership of Customer Success and workflows, including customer correspondence, project management, and customer satisfaction.
  • Plan, prioritize, and execute the sequencing of operational expansion projects.
  • Ensure scalable workflows by documenting and optimizing core processes across finance, HR, and admin.
  • Coordinate with Product on release rollouts and update documentation accordingly.
  • Troubleshoot and solve customer support requests in a timely manner, for customers ranging from Small Family Owned Freight Forwarders to Large Scale Networks
  • Monitor and manage mail handling.

RevOps

  • Monthly payroll, bookkeeping, invoice payments, and reconciliations.
  • Ensuring documentation compliance (receipts, invoices, etc.).
  • Oversee customer invoicing via DATEV and follow up on payments.
  • Track and report monthly company liquidity and reconcile with budget forecasts.
  • Maintain and aggressively improve company budget inline with financial and sales targets.
  • Manage subscriptions and vendor costs to ensure budget alignment.

EXPERIENCE

  • 5+ years in operations, customer success, or project management within a B2B SaaS or tech-driven company.
  • Demonstrated ability to manage cross-functional projects and support revenue or efficiency outcomes.
  • Proven track record in managing payroll, budgeting, and financial forecasting.
  • Familiarity with tools like Personio, DATEV, or similar systems.

SKILLS & ATTRIBUTES

  • Strong operational and financial acumen.
  • Strong Excel Skills required.
  • Comfortable dealing with ambiguity; thrives on ad hoc problem-solving.
  • High attention to detail, especially in handling compliance-heavy tasks.
  • Strong communication and collaboration skills with external vendors and internal teams.
  • Fluency in English; German is a significant advantage.
