To assist with the building and maintenance of ICAT’s compliance and vendor programs, as well as provide operational support to the ICAT enterprise

Requirements:

  • HBO+ level of work and thinking, and at least five years of demonstrable experience in a similar role.
  • Have excellent command of both Dutch and English, in both spoken and written forms.
  • Experience with Cargowise is a plus
  • In-depth knowledge of industry regulations and compliance procedures (Domestic/International, all modes)
  • Proven track record of building relationships and gaining credibility with customers and vendors
  • Superior communication skills, ability to motivate people and an emphasis on listening skills
  • Must lead by example, highly motivated team player with an outgoing and positive work attitude
  • Proven track record of leading, mentoring and sharing knowledge with team members
  • Desire and drive to continue learning and growing
  • Able to foster accountability and commitment to achieve department goals

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist compliance team to ensure Government Agency compliance throughout ICAT
  • Specifically accountable for compliance and perform various control checks to verify compliance
  • Daily compliance reporting
  • Weekly/monthly compliance reporting
  • Regular compliance audits for the stations
  • Respond to government audits as required.
  • Vendor Management Functions
  • Build and maintain relationships with vendors
  • Assist with outreach for annual agency meeting sponsorships
  • Assist to resolve escalated billing discrepancies and service failures
  • Set performance metrics (Quality, Efficiency, Cost). Hold vendors accountable and enforce consequences for non-performance.
  • Accountable overall for the accuracy and effectiveness of the vendor database in the TMS program.
  • Ensure that all vendors are compliant with industry regulations and ICAT standards
  • Establish and maintain relationships with 3rd party outsourced vendors to track
  • Assist to negotiate transportation vendor contracts for the entire enterprise (Domestic & International)
  • Use data analytics to find cost reduction opportunities
  • Assist to source new vendors as needed.
  • Establish opportunities for vendor automation to enhance the vendor; including but not limited to,
  • Documentation, Invoicing, Payments, Tracking and Tracing
  • Develop relationships with Intl networks, including but not limited to WCA and SCN.
  • Manage the process for supporting these networks within ICAT.
  • Operations Support to the Enterprise
  • Develop, document, implement, maintain, and assist to enforce operations best practices throughout the enterprise
  • IOPs (ICAT Operating Procedures) and IOMs (ICAT Operating Manual)
  • Host Operations forums on a regular basis
  • Be the Subject Matter Expert and assist agencies or other departments with operational questions or requests, including but not limited to, special quotes, vendor challenges, operational support
  • Provide opportunities and monitor training / continued education for operators
  • Hiring, onboarding, and training of corporate operations team members
  • Be a leader through actions, communication, and mentoring
  • Support the ICAT Experience initiative by providing a high level of customer satisfaction and operational proficiency to meet growth and profitability goals as well as providing customers, agencies, and vendors with WOW experiences
  • Other emergent duties and projects that may be requested in support of ICAT’s fast paced environment

SUPERVISORY RESPONSIBILITIES:

  • Direct supervision and accountability of the Corporate Operations team
  • Support ICAT Corporate Operations team in setting and achieving goals and performance objectives, in conjunction with the Director of Operations
  • Provide guidance on issues related to:
  • Operations, reporting, communication, policies & procedures, compliance, customer requirements and employee relations
  • Coach and mentor Corporate Operations team members
  • Identify department training requirements and conduct training as needed
  • Hold regular individual 1x1 and team meetings.
  • Clearly communicate department and individual initiatives / goals
  • Develop, monitor and review regularly scorecards and goals with Corporate Operations team members
  • Conduct performance appraisals; provide rewards and execute disciplinary actions/ workplace solutions for department staff
  • Accountable for recruiting and hiring process for new hire requirements
  • Maintain an environment that allows the Corporate Operations team to be part of ICAT’s overarching goals and mission
