Description Position Title: Operations Manager – Clinical & Front Desk Reports To: Senior Operations Manager Location: North Andover Classification: Full-Time, Exempt Position Summary The Operations Manager is responsible for the overall leadership and daily operations of the office. This role oversees all practice staff, including front office, administrative, and clinical team members, as well as the Clinical Coordinator/Lead. The Operations Manager drives operational efficiency, people management, and financial performance (P&L) while ensuring an exceptional patient experience. They work closely with the Senior Operations Manager for strategic guidance and partner with surgeons to support practice goals and growth. While the Clinical Coordinator/Lead maintains ownership of clinical compliance and standards, they report directly to the Operations Manager for all other operational and people-related matters. Key Responsibilities Leadership & People Management Oversee all clinical, front office, and administrative staff, including the Clinical Coordinator/Lead. Lead and develop team members to promote accountability, engagement, and growth. Conduct regular 1:1s, performance reviews, and coaching sessions. Partner with the Senior Operations Manager on staffing strategy, training, and development. Address employee relations and performance concerns in alignment with company policy. Foster a positive, team-oriented culture centered on patient care and operational excellence. Operational Management Oversee day-to-day operations including scheduling, patient flow, and front-desk management. Collaborate with the Clinical Coordinator/Lead to ensure seamless coordination between clinical and administrative functions. Ensure all workflows, communication, and support systems promote efficiency and patient satisfaction. Drive operational KPIs, including call performance, patient experience scores, and production targets. Support onboarding and training new hires to ensure consistency across offices. Financial & P&L Oversight Manage the practice’s financial performance, including budgeting, forecasting, and expense control. Review and interpret P&L statements, identify trends, and develop action plans to achieve goals. Partner with the Senior Operations Manager to ensure alignment with company financial targets. Monitor labor utilization, overtime, and supply costs to maintain fiscal responsibility. Oversee front-office processes for billing, collections, and revenue cycle accuracy. Collaboration & Strategy Partner with surgeons and the Senior Operations Manager to align practice operations with patient care goals and growth initiatives. Support referral-building, marketing, and community engagement efforts. Lead morning huddles, staff meetings, and culture-building initiatives to keep teams aligned. Identify opportunities for improvement and implement best practices across the office. Strong leadership and team-building skills with proven ability to manage both clinical and administrative staff. Excellent organizational, problem-solving, and communication skills. Proficiency in practice management systems (Open Dental experience preferred) and Microsoft Office Suite. Knowledge of OSHA, HIPAA, and infection control standards. Work Environment & Physical Requirements Ability to travel between assigned NHOMS & MassOMS locations as required. Office and clinical environment; occasional lifting of supplies up to 25 lbs. Performance Metrics Patient satisfaction scores and service recovery success. Staff retention and engagement. Achievement of operational KPIs, including missed call rate, scheduling efficiency, and claim accuracy. Compliance with policies and regulatory requirements.
