About the Role
We are seeking a highly organized, proactive, and detail-oriented Operations Manager to join our team. You will work closely with the COO to manage the day-to-day operations of the business, ensuring alignment across teams and freeing up executive capacity to focus on growth and strategic priorities.

Key Responsibilities

Operational Execution

  • Oversee internal operations and workflows to ensure cross-functional alignment
  • Manage project timelines, documentation, and deliverables across teams
  • Lead scheduling and coordination of internal meetings, planning cycles, and progress reviews
  • Maintain internal knowledge bases and shared resources via SharePoint

Executive & Strategic Support

  • Serve as a key partner to the COO by organizing, prioritizing, and tracking key initiatives
  • Manage calendars, prep materials for meetings, and facilitate internal follow-ups
  • Coordinate with stakeholders on high-priority communications and project delivery

Finance & Admin Support

  • Assist with expense tracking and reporting
  • Support light bookkeeping, reconciliation, and funding documentation (e.g., IRAP, ACOA)

Business Development Support

  • Track and follow up on business development leads using HubSpot CRM
  • Support creation of pitch decks, grant documentation, and outbound email drafts
  • Coordinate logistics for partnerships, client meetings, and reporting deadlines

What We’re Looking For

  • 3–6+ years experience in operations, project coordination, or executive support
  • Track record of proactively improving systems and streamlining workflows
  • Excellent written and verbal communication skills
  • Strong organizational skills with high attention to detail and follow-through
  • Self-starter who can manage multiple priorities independently
  • Tech-savvy and comfortable learning new tools
  • Bonus if you have experience in a startup, cleantech, or software environment
