OPERATIONS MANAGER Teamswell is a high-growth nearshore outsourcing company working for US companies. We are currently looking for a highly organized Operations Manager, to serve as the operational backbone of our company. This role ensures smooth execution across teams, projects, and leadership priorities. CORE RESPONSIBILITIES Act as the central point of operations, ensuring seamless coordination across teams and projects. Manage and maintain company systems, tools, and processes to maximize efficiency. Coordinate schedules, meetings, and communications on behalf of the CEO. Own recurring processes, including company meetings, onboarding of contractors and employees, reporting, project tracking, and vendor management. Proactively identify operational gaps, remove blockers, and ensure projects move forward on time. Support investor, board, and team communications with professionalism and accuracy. Handle administrative and operational tasks not owned by product teams. Manage payroll, holidays, vendor orders, and company-wide tool management. Coordinate travel arrangements, prepare presentations and slides, and support financial updates and forecasts in collaboration with the CFO. Capture and communicate team action items (e.g., daily stand-ups) to ensure accountability and progress. Lead special projects and ad hoc administrative tasks as required. REQUIRED EXPERIENCE Fluent English with excellent written and verbal communication skills. 3–5 years of experience in a similar role, preferably within startups, tech, or SaaS companies. Strong organizational skills with meticulous attention to detail. Proven project management experience, able to manage multiple priorities and deadlines. Proactive, solutions-oriented mindset; resourceful problem-solver who thrives under pressure. Ability to work directly with the CEO and leadership team with discretion and professionalism. Availability during U.S. business hours (remote within North America or Latin America). Experience with SaaS, tech environments, or startup culture is a strong plus. Personality traits: dependable, energetic, adaptable, and a true “it’s handled” person. Heavy use: ChatGPT, Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, Zoom, ClickUp (or similar project management tool). Moderate use: Notion, Bill.com, Google Slides, Zapier (automation). Light use: Carta, travel booking tools, tax filings (in collaboration with finance).
