Description
TopFloor is seeking a dedicated and experienced Operations Manager to join our NGO team. The Operations Manager will play a crucial role in ensuring the smooth and efficient operation of our programs and activities, supporting the organization's mission to make a positive impact in the communities we serve. The Operations Manager will work closely with the other members of a country’s management team and manage all possible direct reports within this department. Furthermore, the Operations Manager will work closely together with the finance and HR teams at Global Office, specifically with the Global Director of HR and the Global Director Finance. Key Responsibilities: Provide strong organisational leadership (on-the-job mentoring, coaching, capacity development, change management) for direct reports and foster good relationships with and between partners and teams, supporting a positive organisational culture. Represent our organisation towards external stakeholders. Oversee daily operational functions of the NGO, ensuring effective implementation of projects and programs. Manage budgets, resources, and procurement processes to support operational activities. Develop and implement operational policies, procedures, and systems to enhance organizational effectiveness. Maintain, strengthen and oversee effective systems and procedures for HR management, and manage HR policies and procedures aligned with global company standards and local law Coordinate with program managers and field staff to ensure alignment and efficient delivery of services. Lead and supervise support staff, providing guidance and development opportunities. Maintain, strengthen and oversee effective systems and procedures for financial management, reporting and auditing and you manage finance policies aligned with global standards and local law. Ensure compliance with donor requirements, legal regulations, and organizational standards. Oversee the procurement, logistics and administrative functions ensuring value, efficiency, and compliance of the organisation to local and global policies. You review and manage contracts with suppliers and staff and ensure their compliance with relevant laws Manage logistics, including transportation, office facilities, and procurement of goods and services. Prepare regular operational reports for senior management and stakeholders. Identify operational risks and develop strategies to mitigate them. Foster partnerships with local communities, government agencies, and other stakeholders to support program objectives. Bachelor’s degree in Business Administration, Management, International Development, or related field. Master’s degree in Business Management, Accounting, Public Administration, HR Management or related field 5+ years of experience in management within an international development organisation within at least 3 out of 4 of the following functional areas: Finance, HR, Procurement, Compliance. IT expertise: bookkeeping software, Office 365, spreadsheet skills, managing IT systems Excellent computer skills in MS Office, Excel, Power point and Teams and other accounting software Strong knowledge of NGO operational practices, donor compliance, and project management. Experience in leading multicultural and effective team Proven ability to manage budgets, procurement, and logistics efficiently. Excellent communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders. Strong problem-solving skills and the ability to work well under pressure. Flexibility to travel to field sites as required. Fluent in speaking English and one local language. Excellent written communication skills in English, including writing, conversing and presenting.
