Website: preventionworksct.org FLSA Status: Non-Exempt Employment Status: Full-time Regular Primary Location: EAST HARTFORD, CT Job Summary The Operations & Program Coordinator plays a central role in supporting office operations, training and event logistics, program coordination, and executive/Board support. This position ensures the smooth daily function of the front office while also coordinating the behind-the-scenes operational work that supports programs, events, and leadership initiatives. The Coordinator provides direct administrative and operational support to organizational leadership and program staff. Responsibilities include managing front office activity, coordinating event logistics, maintaining tracking systems and reports, preparing meeting and Board materials, and communicating with internal and external stakeholders. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while maintaining professionalism and discretion. Essential Functions: Office Operations Serve as the primary front desk contact for visitors, callers, and inquiries Answer and route calls professionally Receive, open, and distribute mail to appropriate team members Assist with preparation and deposit of incoming checks Maintain an organized and welcoming office environment Program Event & Training Coordination Coordinate logistics for trainings and program events Work with vendors (venues, catering, materials, service providers) to coordinate event and training needs with an awareness of cost mitigation Upload and manage event registration and promotional pages Track participant registrations and maintain records Program Support & Reporting Compile and organize data from trainings and events Assess data for errors and inconsistencies Export data and generate reports for analysis as needed Produce tables and graphs that summarize data on project activities to include in reports to internal and external stakeholders Continuously research opportunities to improve and streamline data collection methods. Maintain tracking systems and documentation Support program staff with coordination and information management Support collection and compilation of feedback from stakeholder groups e.g. youths and providers Executive & Board Support Administrative support for Co-Presidents Coordinate special organizational projects as directed by the Co-Presidents Coordinate all logistics, planning, and materials for Board and sub-committee meetings and related post-meeting activities and follow up Assist with preparing for signature, processing, and appropriately filing grant contracts and subcontractor agreement Manage sensitive matters with a high level of confidentiality and discretion Marketing & Communications Support Update website content related to trainings, events, program activities, and organizational updates Support creation and scheduling of social media content promoting programs, trainings, and events Prepare materials and support event communications, including oversight and execution of emails related to trainings and program activities Education and Experience Associate’s degree required; Bachelor’s degree preferred Minimum of 2 years of experience in administrative, operations, or program support roles Experience supporting events, trainings, or programs preferred Nonprofit experience a plus Technical Knowledge Strong proficiency in Microsoft Office (Outlook, Teams, Excel, PowerPoint) Ability to quickly learn and use platforms such as Eventbrite, Mailchimp, Monday.com, RingCentral, and Elementor Understanding of event coordination and logistics Ability to manage information accurately across multiple systems Knowledge of customer service and professional office operations practices Skills Exceptional organization and time management Strong attention to detail and accuracy Clear written and verbal communication skills Ability to multitask and adapt in a fast-paced environment Professional, service-oriented approach Comfort interacting with diverse personalities and stakeholders Collaboration and coordination skills Experience with data tracking, reporting, and maintaining spreadsheets or systems Ability to prepare and format professional documents Proficiency using virtual meeting and communication tools Work Context This is a 37.5-hour full-time, non-exempt position. The office is located in East Hartford, CT. After the initial 90-day onboarding period, work will be conducted in a hybrid manner, based on the organizational needs. Some evening or weekend hours may be required in support of events. The Partnership provides the necessary equipment. Travel to meetings, trainings, and events may be required. Physical Requirements The position requires sitting/standing, and utilizing a computer daily, as well as using other office equipment such as printers, projectors, and new technology as needed. The position requires occasionally lifting up to 20 pounds to transport materials to and from meetings, events, and trainings.
