POSITION OVERVIEW

The Operations & Project Support Coordinator is responsible for ensuring day-to-day operational efficiency across crews, equipment, and administrative processes. This role supports project execution, financial follow-up, and forward planning, helping the company stay organized, on schedule, and profitable. Performance will be reviewed monthly, with probationary status based on evaluation.

QUALIFICATIONS & SKILLS

  • Strong organizational and time-management skills.
  • Ability to manage multiple priorities and deadlines.
  • Experience with invoicing, estimates, and accounts receivable.
  • Good communication skills with both internal teams and clients.
  • Attention to detail and problem-solving ability.
  • Proficiency in MS Office, project management tools

Performance & Evaluation

  • Position is subject to monthly performance reviews.
  • Probationary period applies, with continuation based on performance evaluation.

Responsibilities
  • Ensure all equipment is in proper working order, developing checklists and maintenance forms, printing out schematics manuals.
  • Confirm all crews have the necessary tools, materials, and resources which will include sourcing and technical shop/repairs that can be on hand to maintain the equipment. Rely the maintenance protocols to PMs.
  • Verify daily/weekly checklists are completed.
  • Oversee project close-out, including documentation and client hand-off and set up for referral program.
  • Prepare and submit estimates to management in a timely manner.
  • Process invoicing quickly and accurately.
  • Manage accounts receivable, including follow-up with clients as needed.
  • Order Materials
  • Support weekly “look ahead” schedules and planning.
  • Assist with project and operations planning to improve efficiency.
  • Setting up new program and systems.
