Description
We are looking for a responsible and detail-oriented Operations Specialist with strong German and English language skills and prior operations experience. In this role, you will play a key part in onboarding, managing, and supporting doctors and pharmacies, ensuring smooth daily operations and high service quality across the DoktorABC platform. Responsibilities Onboarding & Management of Doctors Manage incoming requests from doctors who want to join and work with DoktorABC, as well as proactively source new doctors through clinics or any other channels and offer cooperation with DoktorABC. Conduct meetings, train, and onboard doctors; present the workflow and clearly explain the full working process, including prescription flow, completing questionnaires, video consultations, and other tasks requiring doctor involvement. Provide ongoing support to doctors, including assistance with DoktorABC software and offering daily technical support, escalate technical issues to the relevant internal teams (e.g. tech team) when needed. Ensure prescriptions are completed and closed in a timely manner, manually allocating orders to available doctors if necessary. Monitor doctor performance and, if it is not satisfactory, provide clear guidance and improvement actions before considering delisting. Onboarding & Management of Pharmacies Identify and verify pharmacies on Flowzz or other channels, and proactively approach them for cooperation with DoktorABC, while managing incoming partnership requests from pharmacies. Conduct meetings, train, and onboard pharmacies; present the workflow and clearly explain the full working process. Prepare contracts, manage negotiations, and finalize commercial and operational terms and agreements. Assist pharmacies with Doctors ABC panel software setup, including printer configuration. Provide ongoing support, offering daily technical assistance, and escalate issues to the relevant internal teams (e.g. tech team) when needed. Track pending orders, monitor processing and delivery times, and follow up on delays to ensure fast and efficient delivery. Work closely with the internal team, using internal communication channels (Slack), and work closely with Customer Support to monitor feedback and proactively resolve service-related issues. Collaborate with product managers and developers to build tools, dashboards, and workflows. Requirements Fluency in German and English (written and spoken) is mandatory. Previous experience in operations, healthcare operations, partner management, or a similar role. Strong sense of responsibility, ownership, and accountability. Excellent communication and coordination skills. Ability to manage multiple stakeholders and priorities in a fast-paced environment. Comfortable working with digital tools, software platforms, and internal communication tools. Problem-solving mindset with the ability to escalate and follow through on issues effectively.
