Warehouse & Operations Coordinator
Total Patient Care Pty Ltd — Western Sydney, NSW
Full time, permanent. Reports to the General Manager.
Total Patient Care is a small logistics and operations business serving the rehab & implant industry. We receive, store, pick and dispatch sterile implants and instrument sets to hospitals and surgical agents across Australia. Every item we touch carries a lot number and an expiry date, and every movement has to be traceable. A small team means the work is varied and nobody sits still.
This is a hands-on warehouse job with a second half that is not warehouse work at all. You will spend part of your week picking, packing, receiving and counting stock. You will spend the rest documenting how we do it, improving it, and buying what we need to keep running.
We are looking for someone early in their career with an industrial engineering background. You should be as comfortable on the floor with a scanner as you are in a spreadsheet mapping a process. If you want one and not the other, this role will frustrate you.
Warehouse operations (roughly half your time)
- Receive inbound shipments from our overseas suppliers, check them against packing lists, and record lot numbers and expiry dates accurately
- Pick, pack and dispatch orders to hospitals and state-based sales agents, including time-critical surgical cases
- Scan and reconcile barcodes, resolving mismatches between what the scanner reads and what the system says
- Run cycle counts and periodic stocktakes, including consignment stock held at hospital sites
- Manage returns, expiry rotation and product recalls
- Keep the warehouse clean, organised and safe
Process and quality (roughly a third)
- Document how work actually gets done, then write the work instructions, forms and flowcharts that let someone else do it the same way
- Support our ISO 9001 quality management system: maintain controlled documents, log non-conformances, help prepare for internal and external audits, and follow up corrective actions
- Find the waste. Measure a process, propose a change, test it, and show the numbers
- Build and maintain simple operational reports: dispatch accuracy, stock accuracy, order turnaround, backorders
Purchasing (roughly a sixth)
- Raise and track purchase orders with our international suppliers
- Monitor stock levels and reorder points, and flag replenishment needs before they become shortages
- Chase deliveries, resolve discrepancies, and keep supplier records current
- Buy warehouse consumables and packaging
What you need
- A degree in industrial engineering, or a closely related discipline such as manufacturing, supply chain or process engineering
- Zero to two years of experience. Graduates are welcome and encouraged to apply
- Strong Excel skills. You should be at ease with lookups, pivot tables and cleaning messy data
- Genuine willingness to do physical work. Lifting, standing, and being on the floor is a real part of this job
- Careful attention to detail. In our industry a transposed lot number is not a typo, it is a traceability failure
- Clear written English. Much of the process work is writing
- Full working rights in Australia
What would help
- A forklift licence, or willingness to obtain one (we will pay for it)
- Exposure to ISO 9001, ISO 13485 or any regulated quality system
- Experience with an ERP or WMS
- Lean, Six Sigma or continuous improvement training
- Any prior work in medical devices, pharmaceuticals or another regulated supply chain
What success looks like
Three months. You can run the pick, pack and dispatch cycle without supervision. You know our product range and where things live. You have raised your first purchase orders.
Six months. You have documented at least three core processes end to end. You are maintaining the quality system's document control and non-conformance register. Reorder points are set and you own the replenishment cycle.
- Twelve months. You have taken us through an internal audit, closed the findings, and made at least one measurable improvement to warehouse accuracy or throughput that you can defend with data.
