Description This is a fully REMOTE position. Only applicants who currently reside in California, Colorado, Oregon, and Washington State will be considered for this role. 3Si is a software (SaaS) company that helps governments, nonprofits, and philanthropies use data to improve the lives of children. We work with a network of state and city governments to build data systems that help identify and address early childhood service gaps. We’re seeking a mission-driven Operations Specialist to join our Finance & Administration team. In this role, you’ll coordinate daily operations, support bookkeeping and compliance activities, and streamline processes that keep our remote SaaS company running smoothly. The ideal candidate is organized, proactive, and thrives in a collaborative environment where their work directly contributes to efficiency, growth, and client trust. What You Will Do Daily Operations & Coordination Monitor tasks, workflows, and priorities to keep teams aligned and efficient. Act as a central point of contact between departments to ensure coordination. Troubleshoot operational issues, escalating as needed and supporting process improvements. Documentation, Policies, and Compliance Support Maintain organizational documentation including policies, procedures, and operational records. Assist with compliance-related activities such as evidence collection, vendor reviews, and audit preparation. Support policy updates, employee training and time tracking, and record-keeping. Project, Process, & Financial Support Support cross-functional projects by tracking deliverables, maintaining timelines, and providing logistical support. Recommend process improvements, tools, or policies to strengthen efficiency and scalability. Prepare operational reports and updates for leadership on project status, risks, and performance metrics. Assist with bookkeeping and financial administration, including expense tracking, invoice processing, and reconciliations. Provide administrative support for budget preparation and monitoring. Vendor & Administrative Support Manage vendor and contract administration support, including onboarding, renewals, and monitoring obligations. Manage employee administration support, including on- and offboarding, payroll, and record-keeping. Assist with team communication, retreat coordination, and workforce operations. Requirements Bachelor’s degree or greater in Business, Operations, Finance, or related field. 2-4 years of experience in operations, administration, compliance, and/or accounting within SaaS, technology, or regulated industries. Demonstrated commitment to confidentiality and security, with the ability to handle sensitive information and maintain discretion in all operational and compliance matters. Strong organizational skills with attention to detail in documentation, reporting, and follow-through. Experience coordinating across technical & non-technical teams. Excellent written and verbal communication skills. Proficiency with productivity and project management tools (Excel, SharePoint, Confluence, Asana, or similar). Ability to manage multiple priorities in a fast-paced, growing small-business environment. Strong problem-solving and troubleshooting skills, with eye for process improvement. Familiarity with compliance frameworks such as SOC 2, NIST, HIPAA, and FERPA is a plus.
