Overview Role Overview The Operations Specialist is a mid-level to senior, hands-on role responsible for executing and improving the firm’s core operational systems, with a primary focus on financial operations, workflow management, and implementation of strategic initiatives. This role does not manage direct reports but operates with autonomy and authority within defined systems, reporting directly to the Managing Partner. This position is ideal for someone who enjoys owning the work, maintaining strong systems, and turning plans into reality. Responsibilities Key Responsibilities Financial Operations (Primary Focus) Manage day-to-day financial operations using QuickBooks Maintain the general ledger, chart of accounts, and accurate transaction coding Process accounts payable and accounts receivable Perform monthly bank and credit card reconciliations Prepare monthly financial reports and summaries for leadership Process expense reimbursements Support month-end and year-end close; coordinate with tax preparers Operations & Workflow Execution Maintain and improve operational workflows using Trello Track operational and strategic initiatives to completion Document systems, workflows, and procedures using Microsoft tools (Excel, Word, SharePoint) Support project and profitability tracking, including fixed-fee matters Identify operational gaps or inefficiencies and propose practical improvements Strategic Implementation Implement operational components of firm strategy as directed by leadership Translate high-level priorities into concrete tasks, systems, and timelines Support firm initiatives related to growth, efficiency, and sustainability Administrative & Team Support Coordinate onboarding and offboarding processes Support performance review cycles and internal documentation Serve as a reliable operational point of contact for attorneys and staff Handle sensitive financial and personnel information with discretion Authority & Reporting Structure Reports directly to the Managing Partner Operates with autonomy over assigned systems and workflows Has authority to execute, recommend improvements, and enforce established processes Does not manage direct reports Qualifications Qualifications (Condensed) Bachelor’s degree in Business, Accounting, Finance, or related field 3–6 years of operations and/or financial operations experience Strong working knowledge of QuickBooks and Excel Comfortable working independently and managing multiple priorities Detail-oriented, organized, and systems-minded Experience in professional services or law firm environment preferred Alignment with a mission-driven, collaborative work culture Required Skills Operations Years of Experience Needed 3
