This role balances people leadership and operational execution, ensuring work is completed accurately, efficiently, and in alignment with Trace Medical’s operational standards. In addition to supervising and coordinating staff, the Operations Supervisor is expected to regularly perform the same operational duties as other team members, including shipping, receiving, equipment tracking, documentation processing, and logistical support. This role leads by example, serving as a working resource during periods of high volume, staffing gaps, or operational complexity. The Operations Supervisor is accountable for ensuring customer-owned equipment is accurately tracked through each stage of the repair lifecycle, with correct operational status updates that support timely and accurate invoicing. This position works closely with Billing to validate equipment ownership, repair status, documentation completeness, and invoice readiness. This role plays a critical role in maintaining operational excellence by executing daily work, reinforcing standardized processes, and supporting continuous improvement across the local operation. Key Responsibilities · Perform day-to-day operational tasks alongside staff, including front office support, shipping & receiving, equipment handling, documentation processing, and logistics coordination. · Lead, supervise, and support operational staff across the front office, warehouse, shipping & receiving, and driver teams. · Serve as a working resource during peak periods, absences, or operational backlogs to ensure continuity of service. · Oversee daily workflow to ensure accurate tracking, handling, and movement of customer equipment throughout all operational stages. · Ensure assets are assigned and maintained in the correct operational status (e.g., received, in repair, awaiting parts, completed, shipped) to support accurate billing and reporting. · Ensure all required documentation—including work orders, invoices, packing slips, and shipping records—is properly completed, scanned, stored, and retrievable. · Coordinate daily operational needs in collaboration with the Warehouse Lead, Technicians, and Customer Service teams. · Collaborate with Technicians to place, track, and reconcile vendor orders, ensuring pricing accuracy, monitoring backorders, and managing inbound and outbound equipment flow. · Work closely with the Billing department to ensure operational statuses, documentation, and repair completion milestones are aligned for accurate and timely invoicing. · Resolve discrepancies between operational records and billing requirements related to equipment ownership, repair status, or charge eligibility. · Monitor operational performance metrics and identify opportunities for efficiency, accuracy, and service improvements. · Serve as the primary escalation point for operational issues affecting workflow, documentation, equipment movement, or invoice readiness. · Promote a culture of accountability, teamwork, and continuous improvement by modeling expected work standards and behaviors. This role is expected to maintain hands-on involvement in daily operations and is not intended to be a purely administrative or desk-based position. Qualifications Bachelor’s degree or equivalent experience required. Minimum 3–5 years of experience in operations, logistics, or operational supervision; healthcare, medical device, or service-based industry experience preferred. Demonstrated ability to design, document, and implement effective operational processes. Proven leadership and training experience with cross-functional teams. Strong organizational, communication, and problem-solving skills. High attention to detail with ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office Suite and operational or documentation management systems. Physical Requirements and Work Environment Combination of office and warehouse environments. Regular interaction with operational staff, technicians, billing and leadership. Occasional lifting and movement of equipment or documentation materials may be required. · Ability to occasionally lift, carry, push, or pull objects weighing up to 50 pounds, with or without reasonable accommodation. · Ability to perform physical tasks associated with warehouse and shipping environments, including standing, walking, bending, and handling equipment for extended periods. · Occasional travel may be required, estimated at less than 10% of total working time, primarily for operational support, training, or company meetings.
