What You'll Do The Operations Support Coordinator is responsible for streamlining various administrative, accounting, and operational tasks. This role supports multiple departments by managing purchase orders, invoices, scheduling, equipment rentals, and out-of-town labor arrangements. The Operations Systems Coordinator also assists in receiving, purchasing, and continuous improvements to systems and processes. The Day-to-Day Enter and track POs to ensure accurate record-keeping in Concur and POR Follow up on any discrepancies or missing information from sales and operations teams Review, code, and submit invoices for approval. Maintain Operations Pex System. Enter production schedules in scheduling system Reserve and coordinate hotel accommodations for out-of-town and traveling crews. Handle any changes or cancellations for Operations Travel Maintain accurate records of expenses for cost Job Costing. Communicate schedules with OTL Leads. Identify equipment requirements for upcoming projects. Obtain quotes, submit orders, arrange deliveries/pickups and track rental periods to avoid extra costs. Notify relevant teams (warehouse, project managers, accounting) of product arrivals. Execute day-to-day purchasing to replenish inventory or job-specific materials. Assist with season projects Assist as need with transfer process Assist as needed with inventory counts and adjustments Requirements What We're Looking For Must be able to work in team environment Must be willing to perform tasks as assigned in a safe and conscientious manner. Basic accounting knowledge (invoicing, POs, credit card reconciliation). Strong organizational and multitasking skills. Excellent communication for coordinating with multiple teams and vendors. Ability to work independently and handle time-sensitive deadlines. Proficiency in Microsoft Office (Word, Excel) or similar tools. Aptitude for process improvement and systems optimization.
