We are looking for someone who is:

  • Warm, personable, and enjoys making patients feel welcome.
  • Organised and detail-focused, and able to keep on top of both dispensing and admin tasks.
  • Adaptable and comfortable switching between patient care and behind-the-scenes work, and takes initiative when they see something that needs doing.
  • Trustworthy and reliable, so patients and colleagues can depend on them for support.
  • Confident with Optomate software, Canva and learning new systems
  • Experience in optical dispensing, healthcare, or customer service is an advantage (but we’re also happy to train the right person!)

Responsibilities

ABOUT THE ROLE

This is a dual role that blends patient-facing optical dispensing with administrative and practice development tasks. You’ll be helping patients choose the right glasses, handling orders, and providing excellent service, while also assisting behind the scenes with administration, billing, and marketing/design work. This role is perfect for someone who enjoys working in a small team and making a genuine difference, and is comfortable assisting both children and adults.

KEY RESPONSIBILITIES

Dispensing & Patient Care

  • Assist patients in selecting frames and lenses that suit their needs
  • Place and track optical and contact lens orders
  • Perform fittings, adjustments and basic repairs
  • Provide advice on lens options, coatings, etc
  • Maintain accurate patients records and referral documentation
  • Support the optometrists with patient needs
  • Support patients at collection and ensure they are happy with their vision

Administration & Practice Development

  • Manage reminders and follow-ups
  • Process Medicare/ private health fund claims, payments and daily banking
  • Track supplier invoices, orders and stock levels
  • Assist with basic bookkeeping
  • Help with marketing tasks such as social media posts & scheduling, newsletters, and in-house marketing resources
