POSITION SUMMARY

Engage Building Products is seeking a detail-oriented and customer-focused Order Desk Representative to join our Calgary-based team. This role supports the order fulfillment process by entering and managing customer orders, ensuring accurate data input, and providing responsive communication to both internal teams and external customers. Candidates with experience in customer service and a background in accounting or data analysis are encouraged to apply.

QUALIFICATIONS

  • Post-secondary education in Business Administration, Accounting, Process Engineering or a related field is required.
  • 3 - 5 years of experience in a customer service role.
  • 3 – 5 years of demonstrated experience in order entry, accounting support, process improvement role.
  • Strong data entry and accuracy skills; experience working with ERP or CRM systems (HubSpot) is a strong asset.
  • Strong communication and interpersonal skills.
  • Comfort working in a fast-paced, manufacturing or distribution environment.
  • Proficient with Microsoft Office (particularly Excel); experience with inventory or order management software is a plus.
  • Detail-oriented with a commitment to data quality and process reliability.

Responsibilities
  • Accurately enter and manage customer orders within the ERP and CRM systems, ensuring data integrity at every stage.
  • Communicate with customers via phone and email to confirm order details, timelines, and changes.
  • Collaborate with Sales, Production, and Operations teams to coordinate order fulfillment and resolve issues proactively.
  • Monitor order progress, delivery schedules, and lead times, providing updates to customers as needed.
  • Assist with generating order-related reports and verifying billing accuracy.
  • Support the team lead in implementing and maintaining standard operating procedures.
  • Contribute to a culture of continuous improvement by identifying and reporting workflow inefficiencies or system issues.
  • Maintain accurate digital records and documentation in compliance with company policies.
