Description

We are currently seeking an experienced Order Entry/Customer Service Representative to join our growing team.
VDG (Van der Graaf) is a well-established industry leader in manufacturing drum motors for all type of belt conveyor applications. If you would like to join a dynamic team while improving your skills, then we would like to meet you!
Location: Brampton
Hours of Work: 8:30 am to 4:30 pm (Monday to Friday)

POSITION SUMMARY:

We are seeking an experienced Order Entry / Customer Service Representative with a strong background in the industrial or manufacturing sector and a demonstrated mechanical aptitude. The successful candidate will be responsible for delivering excellent customer service, accurately processing orders, and coordinating with internal departments to ensure timely delivery.

QUALIFICATIONS:

  • Post-secondary education (College Diploma or University Degree) in Business, Engineering Technology, or a related field.
  • Minimum of 3 years’ experience in customer service or order entry within a manufacturing or industrial environment.
  • Strong mechanical aptitude with the ability to understand and communicate technical product details and configurations.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); experience with ERP systems such as EPICOR is a strong asset.
  • Excellent organizational and time management skills with the ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Strong problem-solving and decision-making skills; able to work independently with minimal supervision.
  • Exceptional verbal and written communication skills, with a professional and courteous demeanor.
  • Fluent in English (spoken and written); proficiency in Spanish is considered an asset.
  • Prior experience in a leadership or team lead role is considered an asset.
  • Demonstrated ability to work collaboratively within a cross-functional team environment.
Responsibilities
  • Respond promptly and professionally to customer inquiries, providing accurate product information, pricing, and lead times.
  • Accurately enter and manage customer orders and quotations in the system, ensuring clarity on specifications and delivery requirements.
  • Coordinate with the production and planning teams to meet special delivery requests or custom product configurations.
  • Interpret basic technical product details to assist customers with selection, compatibility, and order accuracy.
  • Follow up on open orders, backorders, and delivery timelines to ensure customer expectations are met.
  • Build strong relationships with customers by delivering courteous, solution-focused support.
  • Maintain up-to-date knowledge of product lines, including mechanical components and applications, to better support customer needs.
  • Collaborate cross-functionally with Sales, Engineering, and Production to resolve issues and ensure seamless service.
  • Proactively identify potential order or delivery issues and take initiative to resolve them in a timely manner.
  • Maintain organized records of all customer interactions and order activity for accurate reporting and follow-up.
