POSITION OVERVIEW
The Outbound Contracting Specialist is responsible for negotiating, finalizing, and managing contracts with Destination Management Companies (DMCs) and other suppliers for outbound travel services. The role involves ensuring the best rates and terms, building long-term partnerships, and supporting the company’s objectives for global outbound travel offerings.
You will spend most of your time doing below tasks
Daily:
Supplier Communication:
Negotiate rates, terms, and conditions with DMCs and other suppliers.
Communicate with suppliers to resolve any urgent contract-related issues.
Contract Review and Documentation:
Review, draft, and modify contracts to align with company policies.
Maintain accurate documentation for contract terms, amendments, and key supplier information.
Collaboration with Internal Teams:
Work closely with sales and operations teams to ensure understanding of contracted services.
Provide teams with updates on current agreements, changes, or available offers.
Issue Resolution:
Address and troubleshoot any discrepancies in supplier terms, pricing, or service offerings.
Weekly
Rate Comparison and Analysis:
Monitor and analyze competitor rates and offers for relevant destinations.
Benchmark current supplier rates to ensure the company’s competitive positioning.
Performance Tracking:
Track supplier performance metrics (e.g., service quality, timeliness) and report findings.
Identify any performance issues that may require re-negotiation or alternative suppliers.
Meetings and Updates:
Attend weekly team meetings to align on priorities and discuss contract management updates.
Update management on ongoing negotiations, newly finalized contracts, and any challenges faced.
Database Maintenance:
Update the contract management system with any new or amended agreements.
Ensure accurate information is stored for each supplier, including contact details and performance notes.
Monthly
KPI and Performance Tracking: Review and report on key performance indicators (KPIs) for supplier partnerships, including rate adherence, service levels, and booking trends.
Budget Alignment: Ensure that contracted rates align with budget projections and adjust as necessary.
Product and Service Updates: Collaborate with DMCs to update travel package details, seasonal offerings, and availability.
Supplier Compliance Audits: Conduct monthly compliance checks on suppliers to ensure adherence to company and industry standards.
Annually
Continue identifying and adding new destinations to the holiday offerings
Strengthen partnerships with local travel agents, airlines, and accommodation providers to secure better deals and exclusive offers for customers
Introduce eco-friendly and sustainable travel packages to attract environmentally conscious customers
Monitor key performance indicators (KPIs) regularly to assess progress towards annual targets
Launch loyalty programs to reward repeat customers and encourage referrals
Education
1) Bachelor’s degree in Business Administration, Supply Chain Management, Law, or a related field.
Experience
1) Atleast 3 year of experience in travel company in UAE
2) Strong phone and verbal communication skills along with active listening
3) Ability to multi-task, set priorities and manage time effectively

1) Good negotiation and problem-solving skills
2) Proficiency with necessary technology software, including CRMs, dialer systems, Office Suite
