Job Summary Performs and provides administrative support services such as scheduling appointments, tests, admissions and procedures as needed. Prepares correspondence and manuscripts, schedules meetings, maintains records & files, and conducts special projects as assigned by Physician and Leader. Job Specific Duties Answers and screens calls. Assists in returning phone calls/answering questions to assist patients/families regarding upcoming hospital appointments. Ensures patients are scheduled and have appointments for diagnostics, imaging, and admissions (MRI, ECHO, EKG, PFT, TCD, Brain Scans, audiograms, etc.). Follows up on appropriate referrals, prescriptions, and testing. Coordinates appointments with patients and central scheduling. Follows up with central scheduling to ensure appropriate authorizations are received. Coordinates and schedules surgeries, procedures, and diagnostic testing for patients. Follows up on requests in order to meet patient needs to ensure there are no delays due to pending authorizations or missing information. Multidisciplinary Clinics- Coordinates in advance with interdisciplinary specialties to assure patient is seen by all providers. Keeps team informed of any changes to the schedule. Verifies that necessary orders are placed and keeps track of the labs that are ordered in ancillary areas. Responsible for planning/execution of annual patient holiday parties, patient reunions, and UOTS summer camp. Orders medical and office supplies. Responsible for communication regarding equipment and repairs. Assists in data collection for Neuro-Oncology, sickle cell, and solid tumor/sarcoma program, including; data collection for USNWR and annual verification of influenza vaccine status. Verifies in PM office that authorizations for the Infusion Unit have not exceeded authorized number of units. Makes necessary phone calls and notifies appropriate personnel if additional authorization is needed prior to the conclusion of therapy. Coordinates meeting invites, agendas, and documents minutes for the Neuro-Oncology, Sickle Cell, and Solid Tumor/Sarcoma programs multidisciplinary meetings and multidiscliplinary clinics. Assists with tumor board, morbidity and mortality PowerPoint presentations for meetings and forums. Minimum Job Requirements 2-4 years of healthcare/physician’s office experience Knowledge, Skills, and Abilities High school education or equivalent preferred. Bilingual: English/Spanish highly preferred. Knowledge of grammar, punctuation, spelling, and business related writing skills. Knowledge of medical terminology. Knowledge of office equipment and system programs including Microsoft Word, Excel, PowerPoint and Internet. Able to organize and compose general business communication for review and signature. Ability to represent department/function in a professional, courteous, and efficient manner
