Your role at St John of God Midland Hospital We are seeking a dynamic and forward‑thinking Outpatient Performance Manager to lead the integrated Outpatient Administration Services within our hospital. This pivotal role is responsible for driving high‑performance operations, ensuring seamless patient flow, and overseeing contemporary and consistent referral management processes across all outpatient services. You will take ownership of monitoring activity performance and reporting, optimising consulting room utilisation, and embedding clear, accurate administration systems that support service delivery. A key focus will be leading the operational integration of new technologies—including telehealth—to enhance patient access and service efficiency. Working closely with internal and external stakeholders, you will guide the implementation and evaluation of service improvements aligned to the Outpatient Reform and Sustainable Health Review. This role requires a leader who can inspire administrative teams, manage resources effectively, and champion continuous improvement in a complex healthcare environment. The Position Work with OPD Data Analyst to support the development, implementation of clear and consistent business rules, KPIs and procedures for outpatient business operations. Work closely with clinical leads and OPD Data Analyst to monitor, review and actively manage outpatient wait lists to ensure safe, efficient, and timely patient care. Demonstrate a detailed understanding of contemporary referrals management methods, systems and pathways across the care continuum and actively seek opportunities for whole of system improvement. Partner with clinicians to ensure clinic profiles/templates are up to date and efficient to best meet referral demand. Support clinicians to devise innovative approaches to clinic operations. Oversee the regular review of clinical consulting utilisation to ensure bookings are accurately aligned to usage. Take an active leadership role within the interdisciplinary team to resolve any delays in patient access to care. Build and maintain effective, collegial relationships with clinicians and administrative teams and promote integration, consistency, and operational efficiency. Develop a superior understanding of data availability from the organisational systems and ensure the Data Analyst is regularly auditing, cleansing, and reporting OPD data. Work with the Data Analyst to develop processes/systems to maintain data integrity and achieve KPIs. Monitor and report variances against the contractual activity performance of outpatient services against the obligations within the Midland Health Campus Services Agreement with the State. Develop and implement plans to improve administration services or rectify processes. Oversee and report on the financial performance of outpatient administration services. Work with the outpatient administration and finance teams to identify and resolve any administration errors that impact upon revenue stream generation. Coordinate the annual review of public outpatient activity allocation and collate recommendations from each clinical lead. Work with clinical leads and finance team to identify opportunities to build additional revenue streams. Oversee the recruitment, development, and management of non-clinical caregivers to ensure a positive, high performing culture underpinned by the principle of continuous improvement in accordance with hospital policy, to meet operational and strategic objectives. Essential Requirements You will hold a relevant tertiary qualification in management and/or finance, bringing a strong academic foundation to this senior operational role. In addition, you will demonstrate extensive, recent experience working within a high‑volume hospital service environment at a management level, with a proven track record in developing, analysing, and reporting on service outputs and outcomes. Exceptional leadership and management capabilities are essential, including the ability to effectively manage financial and human resources, build and sustain high‑performing teams, and foster a collaborative culture that drives the achievement of departmental, service, and broader hospital performance targets and goals. To succeed, you will bring strong conceptual and data‑analysis skills, along with proven experience developing, implementing, and evaluating regulatory policies grounded in research, best practice, and risk‑management principles. You will be adept at working within complex clinical and administrative structures and skilled in communicating, consulting, negotiating, and influencing to build effective relationships with diverse stakeholders. This role requires sound knowledge of business process improvement, change‑management methodologies, and financial analysis, supported by excellent written and verbal communication skills.
