What This Role Is About: As an Owner Relations Support Specialist, you will work closely with the Owner Relations Manager, who handles client-facing communications. This role will support the Owner Relations department through maintenance coordination, inspection follow-ups, internal team communication, updating information across multiple software systems, and ensuring owner communications are sent accurately and on time via email. You will also assist with vendor sourcing and scheduling, product sourcing and purchasing, and ensuring that managed condos are properly maintained and well supplied. This role plays an important part in maintaining smooth operations between the Owner Relations Department and other departments within the company while ensuring a seamless experience for property owners. Your Main Responsibilities: • Daily monitoring and management of the Owner Relations inbox • Owner sourcing and purchasing support • Updating property descriptions and amenities • Updating OR Tracker, Streamline, Breezeway, and ContactPoint systems • Breezeway task coordination and support • Sending guest reviews and updates to owners • Ongoing statement preparation • Preparation of bi-annual owner summaries • Sending Xplorie links for arriving owners • Sharing bi-monthly guest emails featuring owners • Updating annual Kaba codes • Managing projects related to house rules, fire extinguisher details, maps, AC and TV instructions • Sharing paid social ads with owners • Vendor sheet management and coordination What We’re Looking For: • Excellent written and verbal English communication skills • Strong organizational and multitasking abilities • Experience in property management, vacation rentals, guest services, or administrative support preferred • Ability to coordinate with vendors, internal teams, and property owners professionally • Strong attention to detail and follow-through • Comfortable working in a fast-paced remote environment • Tech-savvy and able to quickly learn new software systems • Experience using Streamline, Breezeway, ContactPoint, or similar PMS platforms is a plus • Ability to manage multiple projects and deadlines independently • Strong problem-solving and critical-thinking skills • Professional, proactive, and customer-service oriented mindset Technical Requirements: Internet speed minimum 30mbps: Needs to be Wired (Buy a dongle if no LAN port) i5 11th Gen or higher Windows 11 / MacOS Catalina or higher Minimum of 8 GB RAM Private and quiet dedicated home office area (no roosters, dogs, children's noises in the background) Back-ups in case of power or internet provider interruptions Good headset and webcam (preferably noise-canceling headset) Why You’ll Love Working with Us: Competitive Salary — We offer a competitive salary that reflects the candidate’s experience, skills, and responsibilities.
