As our new Secretary / Personal Assistant, you will play a vital role in supporting the leadership of our most internationally oriented business unit—Water & Maritime Americas, Middle East and India (AMEI)—which includes advisory groups in India, Poland, Peru, and the Middle East.
This is a trusted support position at the heart of a dynamic and global environment. You will work closely with the Business Unit Director, helping to coordinate international activities, manage communications, and ensure smooth operations across time zones and cultures. Your contribution will be essential to enabling the director and the wider team to focus on delivering impactful water and maritime projects worldwide.

Responsibilities

The BU AMEI is our most global unit within Water & Maritime and consists of advisory groups in India, Poland, Peru and the Middle East.

As the Secretary / Personal Assistant to the business unit director, your responsibilities will include:

  • Provide proactive and high-level administrative support to the Business Unit Director (DBU)
  • Manage calendars, schedule meetings, and prioritise sensitive matters.
  • Draft, review and send communications on behalf of the DBU.
  • Coordinating complex international travel arrangements, including visa applications.
  • Prepare reports, presentations, and correspondence (in English).
  • Prioritize emails and respond when necessary.
  • Support DBU with the development of the agenda and preparation of the meetings
  • Make sure every BU MT meeting runs smoothly. This includes scheduling, draft minutes, and keeping the time.
  • Organise travel and logistics for face-to-face BU MT meetings.
  • You will work in English across all communications and documentation.
  • Support with administrative and coordination needs for internal and external events and meetings
  • Provide cover for other personal assistant/secretarial staff as necessary
  • Work together with other secretaries within the business unit to coordinate secretarial activities in the business line
