Job Title: PA/ Team Administrator

Department: Central Services

Reports to: Head of Network and Head of Sales and Communications

About the Company:

DPD Ireland leads the field in next day parcel delivery throughout Ireland, with 38 regionally based collection and delivery depots and a state of the art central sorting hub in Athlone, Co. Westmeath.

Purpose of the role:

To act as the main point of contact and primary administrative support for the Head of Department and team. This role ensures smooth daily operations by managing calendars, travel, correspondence, expenses, and confidential tasks with efficiency and discretion.


Job Responsibilities:

  • Act as primary point of contact for the relevant Head of Department and their Team/s
  • Diary management, ensuring meetings are scheduled and confirmed in a timely manner
  • Co-ordinate travel arrangements including flights, hotel bookings and transfers
  • Prepare meeting rooms and meet and greet external stakeholders/ clients
  • Record meeting minutes and collate any pre or post meeting reports
  • Manage customer and business partner correspondence, liaise regarding any queries or issues and follow up on completion of assigned tasks.
  • Handle confidential and sensitive information relating to customers, business partners, employees and business strategy, exercising high levels of discretion.
  • Assist with special projects and initiatives as assigned by Senior Management
  • Work closely with other departments to ensure the day-today operation runs smoothly
  • Support with the organisation of company events and initiatives
  • Review timesheets, mileage claims, expenses and reimbursements
  • Handle incoming and outgoing mail and drafting responses to queries
  • All other general admin/ ad hoc duties such as filings, ordering stationary, office supplies and provide admin support to the wider team as required

Experience Required:

  • Previous experience in a similar role/ fast paced work environment


Qualifications Preferred:

  • Full clean driving license would be an advantage.


Skills Required:

  • Detail-oriented with strong organisational and time-management skills
  • Ability to prioritise between various projects with minimal supervision
  • Self-starter with a proactive attitude who takes initiative to ensure their success
  • Thorough knowledge of computer software packages such as Microsoft Office
  • Experience in MAC/ Apple Suite/ Keynote desirable but not essential
  • Fast and accurate typing skills with a focus on accuracy
