QUALIFICATIONS / SKILLS

  • Fluent English, both written and spoken (perfect proficiency required).
  • Exceptional organizational, communication, and leadership skills.
  • Advanced IT literacy, including MS Office and scheduling platforms.
  • Strong ability to filter, prioritize, and communicate information at the highest level.

EXPERIENCE

  • Minimum 10 years of experience as a Personal Assistant or Executive Assistant combined, with at least 3 years in a leadership role managing other PAs or senior administrative staff.
  • Prior experience in private service, ideally supporting UHNW families, is highly regarded.
  • Background in luxury hospitality or 5-star environments will be considered a strong asset.
  • Proven experience in coordinating complex diaries, correspondence, travel, and event management.
Responsibilities

PURPOSE OF THE POSITION

The PA Team Leader will act as the central coordinator and trusted gatekeeper for a female Principal, managing the flow of information, tasks, and priorities between a team of 10 Personal Assistants/Heads of Departments and the Principal. This role requires discretion, precision, and leadership to ensure seamless operations within the main residence and the wider personal office.

ROLES AND RESPONSIBILITIES

  • Serve as the primary point of contact between the Principal and the team of PAs/department heads.
  • Filter, prioritize, and communicate information, ensuring only the most relevant matters reach the Principal.
  • Oversee the smooth running of the Principal’s schedule, diary management, correspondence, and travel plans.
  • Manage and mentor a team of 10 PAs/department heads, ensuring performance standards and efficiency.
  • Draft, review, and edit correspondence, reports, and documents to the highest standard.
  • Coordinate cross-departmental communications to ensure aligned objectives and timely execution.
  • Ensure confidentiality, professionalism, and cultural sensitivity at all times.
  • Anticipate the Principal’s needs, presenting solutions proactively.
  • Liaise with external stakeholders, VIPs, and official representatives as required.
