JOB SUMMARY:

The personal assistant to the leadership team provides comprehensive administrative support to ensure the smooth operation of the relevant schedules and facilitates effective communication between the senior leadership team (SLT) and internal/external stakeholders. This role requires exceptional organisational skills, attention to detail, discretion, and the ability to manage multiple tasks and priorities efficiently.

QUALIFICATIONS AND EXPERIENCE:

  • Competent and confident with computers but not limited to MS Office, Outlook, Word, Excel, MS Teams and Zoom (Essential)
  • Organisation skills and an ability to manage own workload (Essential)
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with individuals at all levels (essential)
  • Discretion and confidentiality in handling sensitive information and confidential matters (essential)
  • Experience as an personal assistant, executive assistant, or similar role (Desirable)
  • An ability to work on own initiative yet be a key part of a team (Essential)
  • Be a natural problem solver (Essential)
  • Positive outlook and an ability to work well under pressure (Essential)

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for managing the SLT calendar, scheduling appointments, arranging both in person and virtual meetings and travel arrangements.
  • Coordinate and assist with the planning and execution of meetings, conferences and training events
  • Take accurate and details minutes of relevant meetings for the SLT, capturing key discussions, decisions and action items
  • Assist the organisation and curation of content for the monthly staff newsletter, including gathering updates, announcements achievements, and relevant information from various departments.
  • Coordinate and set up virtual training sessions, including scheduling and sending invitations
  • Maintain confidential records and files, handling sensitive information with discretion and professionalism.
  • Serve a liaison between the SLT and internal departments, external partners, clients and stakeholders.
  • Perform general administrative tasks such as filing, photocopying, scanning, and ordering office supplies.
