JOB SUMMARY

The role is challenging and varied and focuses on providing PA support to the CEO/ Town Clerk and HR support to the Director of Finance & Resources.
MAIN DUTIES AND RESPONSIBILITIES To provide administrative and secretarial support to the CEO/Town Clerk.
These duties include diary management, taking minutes of Management meetings and Personnel Committee meetings, drafting letters, dealing with telephone enquiries, photocopying, filing, keeping and maintaining accurate records of papers and electronic correspondence on behalf of the CEO/ Town Clerk and archiving. A working knowledge of Microsoft 365 and Outlook is essential.

To provide HR & recruitment support for the Director of Finance & Resources/ Head of HR, recognising the importance and confidential nature of such issues, including attendance and taking minutes at meetings dealing with HR issues and general staff related matters.

  • To maintain confidential personnel files for Town Council staff, ensuring these are kept up to date.
  • To administer the DBS certification process for staff members, using the uCheck HR Platform.
  • To deal with Freedom of Information and Subject Access requests, maintaining a register of all such requests received, liaising directly with the requester, forwarding the request to the correct department, and co-ordinating replies within time-specific deadlines.
  • To undertake administration and attend Civic functions as required, including Remembrance Service, Mayor-Making etc
  • To be responsible for the production and issuing of staff ID badges and programming and issuing security passes.
  • To be responsible for the electronic registration of staff car park passes for the Town Council’s private car park, granting parking permits and dealing with the cancellation of any parking charge notices.
  • To carry out any other reasonable administrative duties, as required

Job Type: Part-time
Pay: £27,711.00-£30,559.00 per year
Expected hours: 22.5 per week
