JOB SUMMARY

RAF Brize Norton is one of the largest station’s within the Royal Air Force with approximately 7600 personnel – a combination of military, civilian and supporting contractors, together maintaining the highly operational output of both regular and reserve units. The Station is home to the RAF’s Strategic and Tactical Air Transport (AT) and Air-to-Air Refuelling (AAR) forces, as well as host to many lodger units and personnel from all armed services. With its mixed fleet of aircraft RAF Brize Norton provides rapid global mobility in support of UK overseas Operations and Exercises, as well as Air-to-Air Refuelling support for fast jet aircraft both on Operations and in support of UK Homeland Defence. This position is advertised at 37 hours per week.

JOB DESCRIPTION

The position being recruited into – PA to the Station Commander and Officer Commanding Operations Support Wing (OC OSW)– sits within the Command Support Team and provides administrative support to the Commander. Principally, the post supports them in delivery of their duties and tasks by ensuring the smooth running of the outer office. The position also acts as the key interface and first point of contact for the Commander and deals with enquiries from both within RAF Brize Norton and the wider MoD. The highest discretion in relation to sensitive staffing and legal matters is required.

You will report to the Squadron Leader (SO2) Station Executive Officer and as PA you will be responsible for the following duties:

  • Constructing a structured working day for the Station Commander, planning and coordinating all meetings, visits and office calls using the electronic and paper diaries; minimising disruption and ensuring efficient use of time. As well as amending their diaries effectively and promptly to avoid clashes.
  • Maintaining and managing the Station Commander’s information flow through email, verbal briefing, and hard copy. During the Station Commander’s absence from the office; use initiative to action important issues and to divert non-essential items along with providing all Secretarial support.
  • Collating briefing papers for meetings to ensure the Station Commander is properly briefed by the appropriate Staff Officers. Papers/briefs to be produced within an appropriate timescale prior to the meeting. Co-ordinate and monitor, where possible, to ensure that work is received and actioned in time to meet internal and external deadlines.
  • Maintaining and manage the Station Commander’s outer office – tasks to include:
  • Co-ordinating any travel arrangements or visit clearances.
  • Ensuring all relevant security regulations are adhered to in relation to daily working practise and assets security. Keep a central record of all files, including Secret, held by the Commander and destroy as per JSP 440.
  • Construct a structured working day for OC OSW, by planning and co-ordinating all meetings and office calls via their electronic diary, minimising disruption and ensuring efficient use of time. Amending the diaries effectively and promptly to avoid clashes.
  • Act as Team Site manager for the Air-BZN-Execs TEAMS area.
  • Acting as Team Site Administrator (TSA) for the Command Support Team SharePoint.
  • Submitting and co-ordination of work service requests for the Station Commander’s workspace.

Any other admin duties as required, commensurate with the grade.

Where business needs allow, some roles may be suitable for a combination of office and home-based working. This is a non-contractual arrangement where all office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD office, will also count towards this level of attendance.
