BT-174 – Paralegal & General Counsel Support Work Location: Washington DC (fully on-site, no remote option **MUST HAVE A SECRET CLEARANCE TO APPLY. Those without an active security clearance will not be considered.** Scope & Associated Deliverables Bespoke is looking for an Associate General Counsel Support to support a DHS Science and Technology Directorate (S&T) Administrative and Support Division (ASD) program located at DHS Headquarters at St. Elizabeths. The support includes, but is not limited to, intellectual property support and administrative support services in support of the OGC/IP. Administrative Support Services in Support of the OGC/IP - The AGC requires professional office services in support of its various organizations, missions, functions, and objectives. These include: Provide direct administrative support services to the AGC and the S&T OGC/IP Group. Prepare manual and electronic Travel Authorization (TA) and Expense Report requests submitted by the Under Secretary for his domestic and international travel. Deliverables include preparing travel authorizations, expense report requests and travel accommodations for staff. Provide professional clerical support, answering phone calls from government officials, scheduling meetings, and ensuring transportation is requested for offsite meetings. Organize calendars and ensure preparation documents and materials are provided for upcoming meetings. Deliverables include calendar preparation and meeting materials. Provide support to AGC and OGC/IP for all DHS headquarters data requirements. Coordinate with the office of S&T Exec Sec. Deliverables include responding and tracking Exec Sec data calls. Manage DHS Records according to DHS Records Management Policy. The candidate shall type and track correspondence, reports, and tabular data from drafts provided by professional personnel and edit for spelling, punctuation, and grammar. The candidate shall ensure formats are in compliance with the DHS procedures. The candidate shall use a variety of software programs including word processing, database, graphics, spreadsheet, and project management applications, as well as other custom applications to perform agency-specific administrative tasks. The candidate shall assist with duplication, collation, and assembly of materials in proper order and provide and maintain copy duplicates, as required. The candidate shall prepare entries and input, track, and monitor data for inclusion in various information systems. The candidate shall execute database inputs for both commercial and agency-specific systems, as required. The candidate shall coordinate and monitor meetings, appointments, schedules, and facilities. The candidate shall provide direct support for presentations, conferences, events, and other meetings, as requested. The candidate shall maintain hard copy and electronic filing and record keeping systems to facilitate retrieval and historical record maintenance as required by the client or other pertinent entities. The candidate shall assist with maintaining logs in various databases and print standards reports. Deliverables include producing reports from various databases and creating standard reports. The candidate shall deliver and pick-up correspondence and reports within the agency and from other local offices as necessary. The candidate shall prepare USPS and express mailings. The candidate shall assist with maintaining and monitoring office operating supplies. The candidate shall understand and follow administrative protocols followed by clerical and secretarial staff within the work group. The candidate shall use professional judgment to refer matters/questions requiring action to the appropriate office, department, point(s) of contact, or agency. Communicate with S&T Offices/divisions about upcoming events to coordinate subject matter expert participation in exhibit outreach events. Edit and format materials for Offices/divisions as required with clarity, logic, persuasion, and effectiveness. Write/ghostwrite, edit, proofread, and/or format technical reports, presentations, fact sheets, talking points, background papers. Required Skillsets: Experience managing SharePoint sites Experience with intellectual property Secret clearance Bachelor’s degree and 5+ years of experience in paralegal/general counsel support
