This role maintains critical legal and compliance processes, including tracking regulatory requirements, managing business licenses and filings, supporting corporate entity administration, and coordinating documentation for real estate transactions and contracts. This position serves as a key operational partner across the organization, working closely with internal stakeholders, outside counsel, and regulatory agencies to ensure compliance obligations are met accurately and on time. The Paralegal also contributes to improving legal workflows, maintaining organized recordkeeping systems, and supporting broader legal operations initiatives. Essential Functions and Responsibilities Enterprise Compliance, Licensing & Permitting Assist with developing, implementing, and maintaining a comprehensive corporate and operational compliance program. Manage business licenses, permits, registrations, and related regulatory filings across multiple jurisdictions, including renewals, applications, reporting obligations, and compliance deadlines. Develop and maintain centralized compliance calendars, tracking systems, and reporting tools to support enterprise-wide compliance activities. Support the development and administration of internal compliance policies, procedures, training materials, and recordkeeping systems. Coordinate with operational teams and business stakeholders to monitor compliance obligations and ensure timely completion of required actions. Assist with audits, inspections, regulatory inquiries, and compliance reviews, including coordinating documentation and reporting requirements. Communicate with regulatory agencies, municipalities, outside consultants, and internal business teams regarding licensing, permitting, and compliance matters. Identify opportunities to improve legal and compliance workflows, systems, and operational processes. Prepare summaries, correspondence, presentations, and reports related to compliance and licensing activities. Corporate Governance & Entity Management Support corporate governance and entity management activities for affiliated entities. Maintain corporate records, minute books, organizational documents, governance databases, and related records. Coordinate annual reports, entity registrations, foreign qualifications, and other required state filings. Assist with board and shareholder documentation, resolutions, corporate approvals, and governance-related reporting. Coordinate with outside counsel, registered agents, and governmental agencies on corporate matters. Commercial Real Estate & Contracts Support Support commercial real estate transactions, including acquisitions, leases, subleases, easements, and related permitting matters. Review, organize, and maintain due diligence materials, including title reports, surveys, environmental reports, zoning materials, and corporate authorizations. Maintain property, lease, contract, and transaction files, including contract databases, templates, and legal records. Track critical dates, deliverables, documentation, renewals, and notice periods related to real estate transactions, lease administration, and commercial agreements. Coordinate contract execution, document retention, and related transactional support activities. Legal Operations & Administrative Support Manage legal department calendars, perform intake requests, manage and maintain matter tracking and document management systems. Assist attorneys with legal research and preparation of summaries, correspondence, reports, and transactional materials. Support legal department process improvements, workflow management, and recordkeeping initiatives. Perform other duties and special projects as assigned. Qualifications Required Qualifications Associate’s degree or Paralegal Certificate from an accredited program. 3+ years of paralegal or legal operations experience, preferably in-house or in a law firm supporting commercial transactions. Experience with commercial contracts and document management. Strong organizational skills with the ability to manage multiple projects simultaneously. Excellent written and verbal communication skills. High level of professionalism, discretion, and attention to detail. Proficiency with Microsoft Office Suite, Adobe Acrobat, and contract/document management systems. Preferred Qualifications Experience with licensing, permitting, regulatory compliance, or corporate governance matters. Experience supporting commercial real estate transactions and lease administration. Familiarity with entity management and multi-state corporate filings. Experience in the energy, fuel, retail, or convenience store industry. Experience working with outside counsel, regulatory agencies, and cross-functional business teams. Job Environment This is a full-time, onsite position based in Lawrence, MA. The role operates in a professional office environment within a corporate legal department. Monday–Friday schedule, 40 hours per week Primarily sedentary role involving extended periods of sitting and computer use Frequent use of hands and fingers for typing, data entry, and document management Ability to read and analyze detailed documents, including contracts and regulatory filings Occasional standing, walking, and movement within the office Frequent collaboration with internal departments, outside counsel, and regulatory agencies Ability to communicate effectively verbally and in writing with internal and external stakeholders May occasionally lift or move up to 15 pounds Compensation: Salary is based on a range of factors that include relevant experience, knowledge, skills, and other job-related qualifications. For the purpose of this role, the salary opportunity is: PAY - $80,000 to $105,000 annually.
