This unique full-time role blends administrative, financial, and paralegal responsibilities and offers the opportunity to work closely with the Executive Director of the George and Margaret Mee Charitable Foundation. Key Responsibilities Foundation Support (up to 8 hours/week with occasional additional hours as needed) Work directly with the Foundation’s Executive Director to ensure efficient and accurate operations, including: Entering invoices and performing data entry in QuickBooks Reconciling bank and investment accounts Preparing quarterly financial reports Updating grant tracking spreadsheets in Excel Assisting with preparation for quarterly Trustee meetings Creating and maintaining grant files; entering data in Microsoft Access Monitoring receipt of Grant Reports Assisting with the annual audit preparation Managing physical file systems and ensuring accessibility of current documents Supporting preparation of 1099s/1096s, annual reports, and related forms Converting forms from WordPerfect to Microsoft Word 365 Administrative & Paralegal Support Support attorneys, clients, and Trustees through a broad range of tasks, including: Frequent interaction with major firm clients, Trustees, and outside financial consultants Reviewing, organizing, and managing incoming correspondence Reconciling monthly bank and investment statements Processing deposits and paying estate/trust invoices Assisting with estimated tax payments Maintaining both physical and electronic file systems Preparing materials, reports, agendas, and logistics for quarterly Trustee meetings Preparing various reports related to estates and trusts Requirements Desired Skills & Qualifications Experience with QuickBooks, Excel, WordPerfect, Word, and Access preferred Strong math and accounting abilities Exceptional organization and attention to detail Clear and professional communication skills Ability to work independently and collaboratively Comfortable managing competing deadlines and shifting priorities High level of professionalism, integrity, and discretion New York State notary public commission, or willingness to obtain same
