Position Overview The Paralegal will play a central role in ensuring the Legal Department runs efficiently and compliantly. This role will manage the company’s legal matter tracking systems, oversee legal invoicing and payments, coordinate litigation holds, and maintain key legal processes and documentation. The ideal candidate has strong administrative discipline, excellent communication skills, and experience supporting in-house counsel or a corporate legal operations environment. Key Responsibilities Matter Management Maintain and update the company’s legal matter management system, including opening, tracking, and closing matters. Ensure accurate and up-to-date records across litigation, regulatory, transactional, and compliance matters. Assist attorneys with matter intake, document organization, deadlines, and workflow management. Generate reports and dashboards for internal stakeholders. Billing & Payments Serve as the primary contact for law firms and vendors regarding billing, accruals, and invoice submission. Review legal invoices for compliance with billing guidelines; route approved invoices for payment. Coordinate purchase orders, budget tracking, and spend analytics. Support quarterly and annual legal budgeting processes. Litigation Holds & E-Discovery Support Administer litigation hold processes, including issuing, tracking, and releasing holds. Maintain defensible documentation of compliance and communications with custodians. Collaborate with IT and attorneys to identify relevant data and support e-discovery workflows. Assist in collecting, organizing, and managing documents for litigation and regulatory matters. General Legal Support Support contract management processes, including document routing and filing. Assist with corporate governance documentation and compliance tasks as needed. Manage calendars, deadlines, and meeting coordination for the Legal team. Assist with special projects and process improvements. Qualifications Required: Bachelor’s degree or paralegal certificate. 2-4 years of paralegal or legal operations experience (in-house preferred). Experience with matter management and/or e-billing systems. Strong organizational skills, attention to detail, and ability to manage multiple priorities. Excellent written and verbal communication skills. High level of integrity and ability to maintain confidentiality. Preferred: Experience supporting litigation, e-discovery, or litigation hold processes. Familiarity with consumer product or manufacturing industry a plus. Proficiency with legal technology tools (e-billing, e-discovery platforms, document management).
