Description This role contributes to NFPA’s Mission, Vision, and Strategic initiatives by supporting the day-to-day operation of the legal department and enhances attorney effectiveness. Also provides certain support functions for the Office of the President and Board of Directors. PRIMARY DUTIES/RESPONSIBILITIES Subject to the general direction of the General Counsel, the person in this role will have the following responsibilities: Organize and maintain documents and records in electronic filing systems; may include trademark registration and control; copyright permissions processing; contract storing and management; managing correspondence; creating, organizing and maintaining databases, official records, and other reference materials and generating reports. Perform basic legal research on relevant laws, regulations and legal articles. Draft, edit, proofread, and provide other support functions in connection with the preparation, delivery and storage of contracts and contract templates, correspondence, memoranda, and other legal documents. Assist with the management of litigation including coordinating document production and preparing correspondence. Support communications efforts of legal department within organization including by maintaining legal page on intranet. Interface with staff and others inside and outside of the organization to respond to inquiries. Handle general administration, record-keeping and information management functions of the Legal Department including coordinating meetings and travel arrangements and preparing expense reports Coordinate and manage information for insurance purposes. Coordinate and manage information for insurance purposes. Maintain strict confidentiality of the Legal Department and confidential information. Support Board of Directors through posting of meeting materials, support Board App, process Board expense reports, coordinate committee meetings, administer polls, and draft and Board communications. Provide back-up phone answering and other support functions, as needed, for the Office of the President. Perform other duties as assigned. Requirements Excellent organizational and interpersonal skills. Solid research and problem-solving skills. Attention to detail and follow through a must. Ability to work independently as well as on a team. Strong proofreading, editing and general document preparation skills. Ability to manage projects. Creative and flexible. Strong computer skills, proficiency with Microsoft Office Suite and SharePoint, familiarity with mobile Apple devices. Ability to learn and follow procedures and work closely with legal, technical and support staff. Minimum bachelor’s degree / Paralegal Certificate and at least 5 years of business/office experience including prior legal experience.
