Job Title: Administrative Assistant and Bookkeeper
Reports to: Pastor
Classification: Full-time, hourly (non-exempt)
Hours: 35 hours per week; Monday through Friday 9:00 a.m. – 4:00 p.m.
Starting Pay: $18.00 per hour

SUMMARY

Serves as the welcoming face of the parish to callers and visitors. Provides a positive, supportive, cooperative, and confidential office environment performing secretarial and bookkeeping responsibilities for the Parish, Pastor and other staff as needed.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • Associate degree or equivalent experience required; bachelor’s degree preferred.
  • A minimum of 2 years comparable administrative and/or bookkeeping work experience is required.
  • Basic accounting knowledge is required.
  • Parish experience with working knowledge of Church Office Program is preferred.

SKILLS AND QUALIFICATIONS

  • Strong verbal and written communication skills are required with the ability to effectively listen and communicate with others.
  • Must possess a high degree of confidentiality and professionalism and be welcoming and hospitable while maintaining positive working relationships.
  • Strong computer skills in Microsoft Word, Excel Publisher, and Adobe. Experience with Church Office, Ministry Pro Scheduler, PDS Ledger, and Paycor are preferred or ability to learn new systems.
  • Commitment to the highest level of customer service for internal and external customers and strong team player willing to support wherever needed.
  • Strong attention to detail and excellent organizational skills to meet deadlines, multitask, and to shift priorities to meet Parish needs.
  • Ability to take initiative, work independently, research, and solve problems.

Responsibilities

RECEPTIONIST AND ADMINISTRATIVE DUTIES

  • As 1st point of contact, welcome guests, answer phone and questions, and provide information, always with a professional and timely response via phone, in person, or email.
  • Sort and process daily mail.
  • Maintain and publish monthly parish calendar, schedule Mass intentions, and assist in scheduling events and facilities.
  • Inform the Pastor of parish and parishioner items such as hospitalizations, births, and deaths.
  • Maintain official parish records: baptisms, weddings, confirmations, first communions, deaths.
  • Register new parishioner families. Maintain accurate and up to date parishioner information in PDS Church Office, removing inactive families as needed. Communicate changes when needed to Our Sunday Visitor for envelopes and Diocesan Pastoral Center.
  • Write, format, proof the weekly bulletin and distribute or mail printed and electronic forms of the bulletin, seasonal newsletter, and other parishioner communications.
  • Serve as parish Safe Environment (Virtus) child protection coordinator, follow all policies, and stay up to date with training.
  • Monitor building needs and issues. Schedule necessary cleanings, inspections, or repairs.
  • Assist with funerals as requested including planning, scheduling, and service support.
  • Maintain inventory of liturgical and office supplies, ordering supplies when needed.
  • Work with the Liturgical coordinator in coordinating liturgical ministers, including Sacristans, Altar Servers, Lectors, Eucharistic Ministers, and Ushers.
