Description At St. Francis Xavier, we believe that every person who calls, emails, or walks through our doors is to be greeted as Christ himself. Our parish is a home for all — newcomers, regulars, the curious, the hurting, the joyful, and the skeptical. Your kindness, patience, and respect should be evident in every interaction. Position: Full-time Schedule: Monday–Thursday, 8am–5pm; Friday, 8am–1pm Job Duties: Greet, welcome, and direct every visitor — in person, by phone, or via email — with warmth, patience, and professionalism, ensuring all feel seen and valued. Answer, screen, and direct incoming telephone calls; take clear and accurate messages when needed. Respond knowledgeably and kindly to all routine questions about parish policies, events, Mass and confession schedules, and parish life. Work independently and confidently to manage the daily flow of visitors, calls, and communications, adapting to a wide variety of personalities and situations. Handle incoming and outgoing mail: sort daily mail, distribute to staff, and prepare bulk mailings as needed. Maintain accurate parishioner data using parish record-keeping systems. Provide administrative support for parish staff and committees, including scheduling, program registrations, correspondence, and document management. Maintain the Mass intention book; record and print Mass intentions on a weekly and monthly basis. Assist in the coordination of Infant Baptism preparation classes. Keep the reception area and common spaces tidy, welcoming, and stocked with current parish information and resources. Assist with basic financial and donation record-keeping as directed. Maintain confidentiality and demonstrate discretion in all matters. Uphold a professional, calm, and welcoming presence, even during busy or challenging times. Perform other duties as assigned by the supervisor or pastor. Requirements Qualifications: Minimum of one (1) year experience in a Catholic parish, or three (3) years in a nonprofit or business office environment. Strong proficiency with Microsoft Word and the Google Suite (Docs, Sheets, Gmail, Calendar, Forms, Drive); comfortable learning new technology as needed. Excellent organizational skills with the ability to manage multiple tasks and shifting priorities independently. Outstanding interpersonal and communication skills; able to connect with people from all walks of life. Demonstrated attention to detail and reliability. Professional appearance, demeanor, and punctuality. Understanding of and commitment to the mission of the Catholic Church. Must be a practicing Catholic.
