Description Position Summary The primary purpose of the Parish Secretary is to facilitate communications, provide skilled secretarial services for staff, parish ministries, parishioners and the Pastor. This position will ensure that all aspects of responsibilities are carried out in a manner that effectively serves the needs of St. Mary, Immaculate Conception Catholic Church and will also reflect the teachings of the Catholic Church and the mission of the Parish. Ministerial Character The pastor is the visible principle and foundation of unity in the parish of St. Mary, Immaculate Conception Catholic Church which the Bishop has entrusted to him. He makes Christ’s mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (cleric, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them. Positions employed at St. Mary, Immaculate Conception Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church. Key Responsibilities Supervise the day-to-day operations of the parish office including office volunteers. Arrange substitute priest assignments and submit stipend payment. Assist in coordinating sacramental preparation for baptism and marriage. Ensure all sacramental records are recorded and properly filed. Prepare liturgy sheets (commentary, General Intercessions, announcements, Children’s bulletins) for all weekly liturgies, Sunday liturgies and Holy Days of obligation. Create, update and send information to publisher for weekly Parish bulletin. Perform basic data entry, including contact information, registrations, and update within the parish database. Works with and updates all sacramental records including funerals, weddings and baptisms: send sacramental information to the churches of record as required and prepare sacramental certificates as needed. Provides Purchase Request Forms for ministries requesting funding. Forward to Bookkeeper for processing. Assist Bookkeeper in various accounting and reporting functions. Work with volunteers in communication and advertising Parish festivals and activities. Manage key distribution for access of Parish buildings by parishioners, renters and vendors. Perform other related duties as assigned by the Pastor, Business Administrator or Office Manager. Qualifications Practicing Catholic, with respect for and understanding of the mission and teachings of the Catholic Church. High School Diploma or GED, advanced or technical studies a plus, not required. Ability to organize, prioritize and utilize time management techniques. Strong interpersonal and communication skills, both in person and by phone. Knowledge of Microsoft word, Outlook, Excel, Publisher, QuickBooks and editing software to be used by parish for advertising and bulletin creation. Ability to multitask calmly and efficiently in a busy environment. Reliable, punctual, and able to work Monday – Friday, 8:00 am -5:00 pm. Must be bilingual in English and Spanish. (read/write/speak) Valid Texas driver’s license Compliant with the Diocese of Austin: Ethics and Integrity in Ministry policies. Working Conditions Requires frequent sitting, with occasional standing, walking, and light lifting. (20 lbs.) for office supplies and deliveries. The Parish is an at-will employer. Though rare, some work on weekends, evenings and holidays may be required. Employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church. Will be required to adhere to established dress code and conduct standards.
